The ideal candidate will have excellent communication skills, impeccable attention to detail, and a passion for our mission to alleviate hunger.
Duties Calendar Management:
Coordinate and manage the executive team’s schedules, including arranging meetings, appointments, and conference calls.
Communication:
Serve as the primary point of contact for internal and external stakeholders, including donors, volunteers, board members, and staff. Handle incoming calls, emails, and inquiries with professionalism and discretion.
Document Preparation:
Draft and edit correspondence, reports, presentations, and other documents as needed. Ensure accuracy and consistency in all materials.
Meeting Support:
Prepare agendas, attend meetings, and take detailed minutes. Follow up on action items and deadlines to ensure timely completion.
Travel Arrangements:
Coordinate travel logistics, including booking flights, accommodations, and transportation for the executive team.
Expense Management:
Process expense reports and reimbursements in a timely manner. Maintain accurate records of expenses and budgets.
Project Coordination:
Assist with special projects and initiatives as assigned by the executive team. Provide research, analysis, and logistical support as needed.
Office Management:
Oversee office supplies, equipment, and facilities. Coordinate with vendors and service providers to ensure a safe and functional work environment.
Confidentiality:
Handle sensitive information with the utmost confidentiality and discretion. Maintain confidentiality of donor and client information in accordance with privacy policies and regulations.
Ad Hoc Support:
Provide additional administrative support as requested by the executive team, including personal assistance tasks as needed. Experience Bachelor’s degree preferred, or equivalent work experience. Proven experience as an executive assistant or administrative assistant, preferably in a non-profit or social services environment. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Strong written and verbal communication skills, with a keen eye for detail and accuracy. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Ability to work independently with minimal supervision, as well as collaboratively in a team environment. Demonstrated discretion and professionalism when handling confidential information.
