Job Summary:

The Executive Assistant at Telemaque Group is a full-time role combining office coordination , executive support , project coordination , and client success support . Working closely with the CEO and CCO, this position ensures the agency operates with focus and flow—setting the tone for each day and removing administrative friction from high-priority operations. This team member also plays a key role in coordinating client projects and supporting ongoing account management for retainer clients. This is a high-touch role ideal for someone who’s detail-oriented, proactive, and thrives in a fast-paced creative environment. The ideal person for this role takes initiative in offering new solutions and resolving conflicts. You’ll be a behind-the-scenes and powerhouse—supporting both executive leadership and client-facing delivery.

Key Responsibilities:

Daily Coordination & Calendar Management Prepare the office and digital workspace ahead of each business day. Facilitate four 15-minute Checkpoint Meetings to streamline leadership focus: (CEO): 9:00 AM & 4:30 PM (CCO): 9:30 AM & 2:30 PM Communicate urgent priorities, email alerts, and project blockers. Coordinate internal team meetings and client sessions without conflicts. Maintain and optimize the shared executive calendars. Inbox & Communication Management Monitor and manage the inboxes of both the CEO and CCO. Draft and send responses, delegate follow-ups, and archive completed threads. Maintain a system for surfacing urgent items and deferring non-essential noise. Inquiry & Front Desk Support Handle inbound inquiry calls and emails. Gather client needs and project information to determine scope. Provide service quotes or schedule follow-up calls with project leads. Client Project & Retainer Support Track project milestones , deadlines, and deliverables using Notion or other PM tools. Coordinate with creative and strategy teams to ensure work is progressing on time. Support Account Managers with scheduling, task delegation, and client update prep. Maintain project dashboards for both internal and client-facing visibility. Help document and track success metrics for ongoing retainers. Anticipate client needs and assist with preparation of agendas, summaries, and follow-up emails. Meeting Notes & Task Management Use AI-powered notetakers to capture meeting conversations. Extract and organize action items, follow-up dates, and decisions. Post recaps and tasks in Notion for team alignment and accountability. Operations & Office Management Track and reorder office supplies, tech, and materials. Organize physical and cloud-based files and templates. Prepare presentations, documents, and branded client materials. Greet clients and visitors; serve as receptionist when needed. Generate and print out reports for weekly internal meetings Print out documents for client and prospect meetings Employee Life Cycle Support Coordinate onboarding and offboarding for new hires and interns. Schedule interviews, prepare onboarding materials, and manage checklists. Support culture and morale through coordinated team events and milestone

Qualifications:

3+ years of experience in executive support, project coordination, or agency operations Strong time management, follow-through, and organization Familiarity with tools like Google Workspace, Notion, and project tracking systems Polished communication and people skills Experience supporting branding, marketing, or creative projects (preferred)
