Job Overview We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to the owner of our law firm. This is a hybrid position based in Macon, GA, requiring a few days a week in the office and travel as needed for events, meetings, and community engagements. You will be accountable to the owner of the law firm. The ideal candidate is a seasoned administrative professional with experience providing executive-level support in a fast-paced small business environment. This role requires exceptional organization, creativity, and process-oriented thinking to ensure seamless operations and protect the owner’s time and energy. As our Executive Assistant, you will handle calendar management, scheduling, meeting coordination, task follow-up, and communication screening, ensuring that the owner can focus on high-level strategic work. Responsibilities Executive Support Manage the owner’s calendar and scheduling, ensuring efficient time management and prioritization. Screen and field emails, phone calls, and other communications, directing inquiries appropriately. Attend in-person and virtual meetings with the owner, providing notetaking, follow-up task assignments, and post-meeting communication. Attend meetings in place of the owner, ensuring effective communication of key points and action items. Coordinate travel arrangements and logistics for the owner. Prepare reports and presentations on behalf of the owner. Run errands such as to the post office and courthouse on behalf of the owner. Event and Community Engagement Support Travel as needed to set up and manage vendor tables and exhibit booths at conferences, workshops, and community events. Assist with event setup and breakdown, including organizing materials, coordinating logistics, setting up the meeting space, ordering food, and engaging with attendees. Reserving meeting spaces, managing registration and coordinating event logistics to ensure a successful event. Coordinating vendors and guest speakers at firm-hosted events. Administrative and Project Coordination Prepare meeting agendas, materials, and presentations for internal and external meetings on behalf of the owner. Track deadlines and follow up on action items to ensure timely completion. Manage digital and physical files, maintaining organized records. Assist with special projects, research, and strategic initiatives assigned by the owner. Light office administrative tasks such as printing and scanning documents, receiving and sending mail, visits to the courthouse, and greeting office guests. Qualifications Proven experience in executive administrative support and personal assistance Strong organizational skills with a focus on calendar management Proficient in Microsoft Office and Google Suite applications Excellent phone etiquette and customer service skills Familiarity with event planning and project coordination Ability to handle clerical tasks such as data entry and filing Experience in office management and bookkeeping is a plus
