We are seeking a highly experienced office assistant for C-level support who can also maintain various recurring office responsibilities. The successful candidate will be mature, possessing a very calm and pleasant demeanor with a good energy work ethic. Must be comfortable interfacing with diverse backgrounds and accents, as well as exhibit a highly professional manner with our healthcare customers (doctors, therapists). Must be_ expert level with QuickBooks_: Posting, General Ledger, A/P and A/R , establish tables of accounts, and assign entries to proper accounts. Payroll reporting, Open, prepare and post invoices. Prepare P/L, monthly reconciliation and financial reports. Generate budget reports.
- Ability to handle paperwork, maintain accounting files, interface as needed in an office setting. Must be an organized self-starter proficient in Excel
- Skill set must include high-level competency with QuickBooks and Outlook, and expert with Excel.
- Must be highly organized and derive pleasure from helping others get organized.
- Must be effective at calendaring responsibilities and assuring timely performance of insurance renewals, business filings, payroll reporting,
- Opening, maintaining files
- Match packing slips with invoices
- Support product inquiries submitted through our website
- Organize lunch for guests- or staff meetings
- Assist with workers comp claims handling, employee manual updates
- Supports in creation of marketing materials on occasion
- Support trade-show functions when needed
- Draft memos, meeting minutes, correspondence,
- Assist with phone accounts, wifi issues,
- Process incoming/outgoing mail
- Interface with inventory personnel to create/track reports Principals only.
