The Executive Assistant is expected to plan, prioritize, and organize high volume of day-to-day activities for the leaders, increasing their efficiency. The Executive Assistant role is based in our Buckhead office. Calendar and Administration 75%
Manage complex calendaring, travel arrangements (domestic and/or international) with accompanying detailed itinerary for executives, with foresight to anticipate changes and modify accordingly
Coordinate meetings and conference calls ensuring action items and deliverables are handled
Arrange meetings and coordinate special events, i.e. department meetings, town halls, coffee chats, to increase executive visibility at all levels within the organization
Compose and draft correspondence and other documents
Interface with internal and external clients on behalf of executive(s) and manage communication with direct reports
Prepare background research and information for all executives’ meetings
Produce communications including emails, announcements, and spreadsheets
Prepare presentations, board books, and manage communication within organization
Act as liaison and maintain open lines of communications among senior executives and entire team
Submit and verify all expense reports for executive(s)
Executive presence working with BOD members and VIP guests Special Projects 25%
Manage and assist in special projects as directed by leaders

Must have:
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Strong communication skills with proven expertise in conveying ideas, updates, and strategies clear and professionally
Skills in upholding discretion and maintaining strict confidentiality
Ability to build rapport, manage expectations, and resolve issues
Ability to anticipate needs with a strong sense of initiative and customer service
Excellent verbal and written skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Advanced proficiency in MS Office – Word, Excel, PowerPoint, and Outlook
5 to 8 years of experience at the administrative assistant level with a large organization
High school diploma or GED Preferred skills and experience:
Prefer domestic as well as international travel planning experience
