About the role This position will provide executive-level support to three members of company’s C-Suite. Duties will be administrative and project-based and include scheduling travel, arranging meetings, handling information requests, research, report preparation and event management. The position requires a high degree of professionalism, confidentially, organization, and communication. - Plan, prioritize, and organize a high volume of day-to-day activities
- Manage heavy, complex calendar management, and travel arrangements (domestic and international) with accompanying detailed itinerary for executive(s). Travel arrangements include flights, hotels, car rentals, reservations, etc.
- Promote effective time management of executives
- Be a champion of the company’s vision, mission, and strategy; understand business unit objectives and set/accomplish individual performance goals accordingly
- Interact with internal and external clients on behalf of executive(s) and communicate with the executive’s direct reports
- Act as liaison and maintain open lines of communication among senior executives and total company
- Maintain good rapport with all company employees
- Track expenses and complete expense reports
- Arrange conference calls and meetings with internal and external customers and vendors
- Coordinate and organize senior meetings, including but not limited to team meetings, offsite meetings, and customer meetings (e.g., maintain calendar invites and RSVPs, manage logistics, prepare and distribute materials, greet guests, and prepare technology such as video conferencing or collaboration tools)
- Administrative support including editing, composing, and finalizing both internal and external memos and correspondence
- General office support including phone coverage, printing, email screening, ordering supplies
Requirements:
- 3+ years of previous experience as an EA for executives in a corporate environment – preference for someone that has managed multiple executives at once
- Strong work ethic, demonstrating willingness, and ability to get the job done
- Exceptional organizational, time management, and written and verbal communication skills
- Expertise in Microsoft Outlook calendar management
- Advanced proficiency with MS Office – Word, Excel, PowerPoint, and Outlook
- Proficiency in gathering and reporting information and preparing presentations
- Willingness and ability to work effectively with members at all levels in the company
- Ability to exercise initiative, confidentiality, problem-solving, and decision-making skills
- Independent prioritization and self-management responsibilities
