Summary:

This position provides executive-level administrative support to the CEO. This position requires a proactive approach, strong attention to detail, discretion, and the ability to prioritize and manage multiple tasks simultaneously in a dynamic environment. This role will play a pivotal role in ensuring the smooth operation of both professional and personal affairs of the CEO. This role will be the right hand to the CEO, managing sensitive information and maintaining confidentiality at all times. The ideal candidate is highly organized, responsive, and comfortable managing complex schedules, travel, and communications. This role will be a Hybrid Position. Therefore, the candidate must be in the Atlanta, GA area.

Duties and Responsibilities:

Manage the CEO’s calendar: Scheduling meetings, coordinating business lunches and dinners, special initiatives and optimizing time. Coordinate business travel arrangements, itineraries, and accommodations Monitor business supplies and equipment, and coordinate company events and meetings, ensuring all logistics and materials are prepared in advance Assist with internal and external events and help manage marketing collateral Capture engaging material & content for social media as requested Organize and maintain files, ensuring accurate and timely record-keeping Coordinate and attend meetings, taking detailed minutes and following up on action items Audit and manage insurance policies in coordination with the business licenses, contracts and partnerships Research, prioritize, and follow up on incoming issues and concerns including those of a sensitive or confidential nature; also research to assist with decision-making and strategic initiatives Completing expense reports on behalf of the CEO and obtaining, maintaining and keeping track of all receipts for CEOs as needed Support with invoice management, expense reports for the employees, and budgeting Assist in monitoring company-related financials, ensuring accuracy in reporting Organize documents for tax, payroll, and compliance-related tasks Follow up on contacts made by the CEO and support the cultivation of ongoing relationships Handle confidential communication, draft emails, and prep materials for meetings Work with the Strategic Initiatives team in coordinating outreach activities and support special projects such as maintaining filing systems such as SharePoint and OneDrive, and maintaining digital documentation systems and including editing and adding contacts in a directory Communication of concerns or issues to project management Manage google drive (sheets, documents, etc) Prepare, proofread, edit, and distribute correspondence, memoranda, charts and reports Liaise between the CEO and internal/external stakeholders, ensuring seamless communication Track CEO’s tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational development. Build crucial relationships for the Company and manage a variety of special projects for the executives, some of which will have a strong impact on the company’s success Work independently on projects and initiatives assigned by the CEO across departments All other duties assigned by

Management Required Skills and Qualifications:

Must have a High School Diploma and/or GED equivalent Significant executive support experience, including supporting C-level executives, minimum of 5 years’ experience working with a C-level executive. Bachelor’s degree in business administration or finance, preferred. Excellent interpersonal, written and oral communications skills Ability to work independently and prioritize accordingly to effectively manage multiple projects, and travel arrangements. Demonstrated experience in managing executive-level communication, legal documents, and complex scheduling across multiple business operations Valid State Driver’s License (Required) and reliable transportation is required Valid passport Must possess strong negotiation skills Proven success in a corporate setting, working with all levels of management Exceptional organizational abilities, attention to detail, accuracy and a strong commitment to meeting deadlines in a fast-paced environment. Highly tech savvy and exceptional in Microsoft Office365, Google Workspace, scheduling tools, and social media platforms Highly proficient with the online calendar of an executive and using Microsoft Outlook. Design, podcast, or content creation tools are a strong plus Must be willing to travel nationality/internationally to conferences, business events and other industry events as needed for event support. Ability to work independently in a remote environment while collaborating effectively with a team-focus organization is required Must possess a high degree of flexibility and professionalism Ability to show a strong customer service mindset Must have ability to multi-task and reprioritize as new projects arise Able to follow up and escalate items, per policy Excellent problem-solving skills

Work Environment:

This position typically operates in a professional home office or shared workspace environment. This role will require travel to community events and sites.
