PURPOSE OF THE POSITION

The Executive Assistant to the CEO manages and oversees the day-to-day constituency services and administrative support activities of the CEO, acts as a key liaison to the Board of Directors, and coordinates logistics for Board activities, and other key staff as assigned. The position requires a high degree of initiative and flexibility, extensive experience in an executive office, and ability to multitask routinely with absolute tact, discretion, and confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES

. Coordinate and manage calendars for the CEO to include all travel arrangements, meeting logistics, materials preparation, expense tracking and processing, routine scheduling, and follow-up. . Perform and track all administrative processes for the CEO (approvals processes, authorization requests, travel forms, check requests, etc.) . Coordinate special meetings and events (including logistics, catering, decoration, invitations, etc.) throughout the year as called upon in support of executive activities. . Prepare agendas and briefing materials for Board meetings and other meetings as required. Maintain official records of Board actions and files. Staff Board committees as assigned. . Prepare background reports, research, and analyze information, and manage special projects as required. Track ongoing projects delegated through the CEO for calendaring action and maintaining schedules. . Assist all departments within the Executive Office on a regular basis, taking responsibility to initiate, facilitate, and complete when appropriate cross-department efforts and projects. . Draft correspondence, agendas, memos, and other materials from Office of the President. Produce and maintain all official documents of the office including letters, minutes, proposals, information packets, legal documents, contracts, etc., with precise attention to detail. . Review proposal application requirements and plan development administratively. Prepare proposals and development packets as directed. Ensure quality, completeness, and timeliness of all submissions. . Assist in receiving and briefing guests at the offices and meetings. Screen correspondence, telephone, email, and other communication as needed to organize the CEO’s time and enhance efficiencies of the office. Answer routine communications as directed. . Attend meetings on behalf of the CEO as required for information gathering and reporting purposes. . Track budgets for office of the CEO. Identify issues and report as attention requires. Process financial transactions for the CEO (check requests, travel, contract worksheets, etc.) and understand their recording. . Act as a technical, procedural and protocol resource for all staff. . Perform complex, non-routine tasks, exercising judgment, confidentiality, and discretion within established policies and procedures. . Perform all other duties as assigned.

SKILLS AND ABILITIES REQUIRED

. Outstanding written and verbal communication skills required. Experience dealing with diverse cultures, geographies, and time zones is highly desired. . Bilingual in English and Korean- Preferred . Meticulous attention to detail. . Ability to perform technical, specialized, complex and difficult office administrative work requiring the use of independent judgment: o Ability to analyze and resolve office administrative and procedural problems. o Knowledge and experience with developing procedures and documentation. o Basic knowledge of business functions (i.e. corporate resolutions, banking, controls); o Performing basic internet and secondary source research and preparing reports and recommendations. o Systems for organizing work, coordinating projects, setting priorities, meeting deadlines, and following up on assignments with a minimum of direction. o Ability to take initiative and demonstrate independent judgment within established policy and procedural guidelines.

COMPUTER EQUIPMENT AND SOFTWARE REQUIREMENTS

Proven expertise in high-level functions of Word, Excel, PowerPoint, and Outlook required. Ability to craft and edit presentations and proposals must be shown. EDUCATION and

. Bachelor’s degree or equivalent experience required. . Demonstration of training specific to business protocols (education, on-the-job training, self-study, seminars, relevant certifications, etc.) required. . Established credibility in dealing appropriately with sensitive and confidential situations important. . Five plus years’ experience as an Executive Assistant required. Proven organizational skills and ability to manage a fast-paced office are essential.
