General Description:

The Executive Assistant, Operations serves as a key partner to the Chief Operating Officer and Executive Vice President, Operations by providing high-level administrative support with a strong emphasis on care, precision, and proactive coordination. In addition to managing complex calendars, internal and external meetings, and domestic travel, this role is responsible for a wide range of confidential and corporate responsibilities. This role brings not only professionalism and attention to detail but also a genuine desire to grow, learn, and continually improve in a dynamic and people-focused environment.

Position Qualifications:

Three to five years’ experience in executive-level support function preferred Experience with supporting multiple executives preferred High level of attention to detail, proactiveness, and organizational skills required. Capable of representing Juneau and its executives professionally, with strong communication skills and a deep appreciation for the experiences they create for those around them. Travel arrangement and calendar management experience required. Extreme proficiency with Microsoft Office Suite or similar software, with the ability to learn new or updated software Must hold and maintain an active notary designation in compliance with state regulations Ability to execute all tasks with a high level of confidentiality and discretion

Duties and Responsibilities:

Proactively manage complex executive calendars, including arranging, confirming, and adjusting meetings, coordinating logistics, and ensuring proper follow-up. Prepare meeting materials such as agendas, executive reports, and supporting documents for internal and external meetings. always aiming to bring clarity and excellence to every interaction Schedule and coordinate domestic travel, including flights, hotel, ground transportation, and meals Maintain and update internal staffing software to reflect staffing changes, while communicating updates thoughtfully to foster collaboration and connection across departments Prepare and submit expense reports for executives, ensuring accuracy and timely processing. Keep calendars updated with personal touchpoints, including birthdays and employee anniversaries. Assist in tracking and follow-up reminders for client and industry relationships and help to support meaningful connections through thoughtful touches that reflect unreasonable hospitality. Manage and maintain executives’ professional presence on social media platforms by scheduling and posting content, ensuring consistent engagement and alignment with company values and personal brand objectives Manage company-related errands, including scheduling and overseeing vehicle maintenance Facilitate and manage the flow of documents requiring executive signatures, ensuring timely review, organization, and tracking of signed materials while coordinating with team members to meet deadlines Review and edit company-wide communications to ensure they are clear, aligned with our tone, and reflect our culture and values. Assist in the coordination of employee appreciation trips and events that foster fun, connection, and shared celebration throughout the organization as needed. Job Expectations:

Position may require extended periods of time sitting and/or standing, talking both in person and over technological avenues, lifting up to 15 lbs. as needed This role follows a hybrid work model, requiring a regular in-office presence at least three days per week. The employee is expected to be in the office on the same days as the executives they support, with the flexibility to work remotely up to two days per week based on business needs. Position requires tact and confidentiality, as the Executive Assistant may have access to sensitive information pertaining to the organization and its employees, as well as clients, trade partners and other relevant parties.
