This role is charged with supporting the Executive Director by managing administrative tasks, coordinating communication, and overseeing special projects, thereby enabling the Executive Director to focus on strategic leadership and organizational goals. Moderate travel is required.
PRIMARY DUTIES AND RESPONSIBILITIES
PROVIDE
COMPREHENSIVE ADMINISTRATIVE SUPPORT TO THE EXECUTIVE DIRECTOR
Manage schedules and appointments, including overseeing calendars, appointments, and travel arrangements. Prioritize and handle incoming communications such as emails and phone calls. Maintain and organize files, records, and documents for easy retrieval. Assist in preparing reports, presentations, and correspondence, and compile a weekly report of Executive Director and staff activities for the Board of Directors. Serve as a liaison between the Executive Director and internal and external stakeholders.
SUPPORT THE BOARD OF DIRECTORS
Assist the Executive Director in developing meeting agendas and background materials. Coordinate, set up, and attend all Board meetings; take detailed minutes and follow up on action items. Make travel arrangements for Board members to attend GSBA and other events as needed. Provide clerical assistance to the President, Board members, and Board committees as requested. Assist District Directors in planning and preparing for district meetings.
ASSIST WITH MAJOR ASSOCIATION CONFERENCES
Participate in the planning and preparation of major association conferences and attend these events to provide support.
ADDITIONAL DUTIES
Guide the Office Manager in front desk functions and general office operations to ensure consistent communication and coverage. Maintain an organizational calendar in coordination with all departments. Participate in relevant professional development programs. Carry out other duties as assigned to support the Executive Director and the organization.
QUALIFICATIONS
The ideal individual is one who is professional and has a positive attitude, enjoys working with people, is highly organized and detailed oriented, is proficient in the use of technology, and is motivated to learn and grow.
Specific qualifications include:
A bachelor’s degree in business administration, management, or a related field. Minimum of 3-5 years of experience in an administrative or executive support role. Strong oral and written communication skills Highly detailed and organized Effective time management skills Proficient with Microsoft Office
