We are looking for an honest, proactive, caring and kind individual to help with the administrative tasks that support the work of the partners. Position Description The Executive Assistant provides direct administrative support to the firm and manages all general administrative processes and procedures. The Executive Assistant is the first point of contact with clients, coordinating client appointments and delivering an exceptional client experience.
A successful Executive Assistant will:
Make people entering the office feel truly welcome, greeting people by name, offering refreshments and doing what is appropriate to ensure their experience is pleasant Proactively, efficiently and accurately complete administrative tasks, business processing, and running of the office to allow advisors to focus on wealth strategies that help clients reach their financial goals Increase operational efficiency and improve administrative procedures; minimize scheduling conflicts Maintain high levels of client satisfaction and build relationships with firm clients Ensure that partners do not have to interact with the Broker Dealer or vendor firms Accurately draft and notarize notarial documents Primary Responsibilities Answer phones, screen and route calls, and take / distribute messages Schedule, calendar, and manage tasks and activities in CRM and team members’ calendars Manage incoming and outgoing communications (telephone, email, mail, and faxes) Provide general office support (scanning, faxing, filing, office errands, creating documents, etc.) Maintain physical and digital records and client database Assist in maintaining a compliant practice (files, blotters, and books and records) Greet and engage with clients and prospects in a professional, enthusiastic, and welcoming manner – offering food, beverage, and conversation and seating them for meetings Coordinate travel arrangements and maintain mileage and expense reports Complete office opening and closing procedures Maintain all office machines, renew any contracts and learn how to use all equipment Order and maintain office supplies (including firm collateral, information packages, kitchen supplies / snacks, general office supplies, postage supplies, etc.) Maintain overall cleanliness of office (dust, vacuum, empty trash, stock / organize refrigerator, clean out sink / dishes, general office pick up, etc.) Manage client touches and birthday process, cards / gifts (Sympathy, Get Well, Thinking of You, etc.) Handle scheduling for any related non-client related processes (i.e., performance reviews, interviews, team outings, etc.) Complete operations / client service tasks and train to be competent in all areas over time Manage and escalate business processing submissions, coordinating with back office and vendors through completion Update processes / procedures related to the Executive Assistant position Accurately draft and notarize notarial documents Complete back-up duties, requests and additional projects as assigned Required Knowledge, Skills & Attributes Valid Driver’s License and transportation High School diploma Louisiana Notary Public commission preferred 3 to 5+ years of experience in an administrative role Financial services experience preferred Comfortable working with industry related software (Redtail, eMoney preferred) Expert computer skills, including advanced knowledge of Microsoft Office tools (Outlook, Word, Excel, Teams) Strong math and analytical skills, excellent oral, written and interpersonal communication skills Approachable and able to engage clients in light, friendly conversation Professional appearance and demeanor Impeccable ability to maintain confidentiality and integrity Effective follow-up skills and ability to meet deadlines without prompting Flawless attention to detail and accuracy required Energetic, self-motivated, and proactive with the ability to work well independently and under direction Comfort with being a “team player” and proactively doing whatever is needed, big or small Desire and willingness to learn and potential to grow and advance within our firm
