Job Summary
A confidential biotech company in Cambridge, MA is seeking an Administrative Assistant to support three senior executives on a 3-4 month contract to cover a leave. This is an onsite role with working hours of 8:30 AM – 5:00 PM, with some flexibility as needed to accommodate executive needs. This position is ideal for a professional who is proactive, organized, and comfortable handling both high-level executive support and basic in-office tasks. Pay is targeted at $40-$42/hr depending on experience. The company operates in the life sciences space, working on innovative therapeutic solutions for complex diseases, and values individuals who are collaborative, resourceful, and respectful of confidentiality.

Key Responsibilities:

Provide executive support including calendar management, meeting scheduling, and domestic/international travel arrangements.
Coordinate and manage expense reports and meeting logistics (agendas, minutes, catering, materials).
Prepare, edit, and proofread documents, presentations, and correspondence.
Act as a liaison with internal teams, board members, and external vendors.
Maintain a strong office presence, assisting with in-person meeting setup and basic office needs.
Assist with legal documentation processes such as DocuSign and CDA templates.
Ensure discretion and confidentiality in all communications and records management.

Candidate Qualifications:

Proven experience supporting C-suite or senior executives; biotech/pharma experience highly preferred.
Excellent organizational skills with the ability to multitask, prioritize, and adapt in a fast-paced environment.
Strong Microsoft Office skills (Word, PowerPoint, Excel, SharePoint, SmartSheet).
High attention to detail and follow-through, with outstanding written and verbal communication skills.
Experience coordinating with legal teams and an understanding of business development workflows is a plus.
Demonstrated professionalism, sound judgment, and discretion with sensitive information.
Comfortable working onsite and contributing to the overall office environment as a team player.
