Part Time Department Assistant – Executive Office Town of Millis – Millis, MA Millis, MA Job Details Part-time | Full-time $23.09 – $28.89 an hour 1 hour ago Qualifications Meeting minutes Accounts payable management Attention to detail Invoice data entry Entry level File organization Full Job Description The Town of Millis is seeking applicants for an 18 hour per week part-time clerical position for the Town Administrator/Select Board’s Office with a start date of July 1, 2025. Some evening hours may be required occasionally. Under the direction of the Assistant Town Administrator, the Executive Office Department Assistant provides essential administrative and clerical support to ensure the efficient operation of the department. This role involves handling routine office tasks, organizing files, coordinating communication, and assisting department staff with various projects. The Department Assistant serves as a key support person, facilitating smooth operations and helping the department meet its goals.
ESSENTIAL DUTIES/RESPONSIBILITIES
- Respond to community inquiries by email/phone/in-person, routing questions or securing answers from most knowledgeable staff, informing Assistant Town Administrator and/or Town Administrator as to any that may be concerning.
- Process all accounts payable invoices in a timely manner. Maintain comprehensive records of all transactions and regularly reconcile accounts payable records with vendor statements and budget documents to identify and resolve any discrepancies.
- Maintain vendor contact list, reach out as required to secure services.
- Attend and/or record Select Board and Capital Committee meetings to transcribe meeting minutes. May set up Zoom and/or other recording devices prior to start of meetings. Types and distributes minutes for review. Strong attention to detail required for accuracy of spelling, grammar, and punctuation.
- Process license and permit applications with payments for Select Board issued licenses including common victualler and alcohol.
- Liaison to Town Clerk’s office re: public meeting preparations and notifications including posting on Town website.
- Performs related office duties as may be required or assigned by the town administration.
