Executive Assistant (Right Hand) to Founder and CEO Xylogenesis | Family Office Advisory St. Louis, MO • Remote Job Summary We are seeking a highly organized and proactive Executive Assistant (Right Hand Person) to support and be a thought partner to our Founder and CEO. The ideal candidate will be responsible for managing a wide range of administrative tasks, ensuring efficient and innovative office operations, and facilitating effective communication, impactful relationship-building, and scheduling within the organization and its premier clients. This role requires a positive, detail-oriented individual who can handle confidential information with extreme discretion and has the ability to thrive in a fast-paced environment with high-caliber people. Responsibilities Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements using Outlook Calendar. Communcation and relationship-building in a positive, “white glove” manner with direct access to the firm’s premier clients and client teams. Engage in conversation to develop meaningful professional relationships with firm clients and their teams. Perform data entry and maintain organized filing systems to ensure easy retrieval of documents. Coordinate and plan company events, meetings, and conferences, ensuring all logistics are handled efficiently. Manage communications on behalf of the Founder & CEO, prioritizing messages and inquiries appropriately. Assist in office management tasks to maintain a productive work environment. Support the Founder & CEO with personal assistant duties as needed, including handling correspondence and managing special projects. Prepare reports, presentations, surveys, and other documents as required for meetings and strategic planning sessions. Updating and monitoring Constant Contact and LinkedIn. Assembling and preparing monthly expense reimbursements, vehicle driving logs, credit card statements, billing statements. Skills Proficient in data entry with strong attention to detail. Familiarity with Microsoft products (Word, OneNote, Outlook, Excel, PowerPoint, and Teams) systems to ensure effective communication, organization and easy to read documents. Familiarity with Constant Contact. Familiarity with LinkedIn. Experience in meeting scheduling and event planning with the ability to manage multiple projects simultaneously. Effective, positive, professional, “white glove” communication skills and management. Advanced skills in Outlook Calendar for scheduling and time management. Strong office management capabilities and innovation to support daily operations efficiently. Experience as an executive’s personal assistant or in an executive administrative role is preferred. Excellent computer literacy with proficiency in Microsoft Office Suite, and other relevant software applications. QuickBooks software skills is a tremendous positive. Other advanced degree, professional license, or certification such as a paralegal is a tremendous positive.
