POSITION SUMMARY
: Provides comprehensive administrative and executive support to the Port Director and leadership team. Acts as a first point of contact for internal and external stakeholders, ensures smooth office operations, manages complex calendars, coordinates meetings and travel, and assists with board and commission engagements.
- Manage the Port Director’s calendar, schedule meetings, and coordinate with internal leaders, commissioners, and external partners.
- Prepare and distribute board/commission meeting agendas, notices, packets, and minutes, ensuring compliance with relevant regulations.
- Attend meetings, record action items, and follow up on outcomes.
- Coordinate travel arrangements (domestic & international) and compile expense reports.
- Handle incoming calls, correspondence, and inquiries, and act as liaison with staff, community groups, government agencies, and the public.
- Draft, proofread, and edit letters, reports, memos, presentations, and briefing materials.
- Maintain confidential records, files, and databases; ensure proper document retention and public records compliance.
- Design, track, and support port initiatives, special projects, and strategic communications.
- Provide backup and guidance to support staff as needed.
- Maintain confidentiality, political savvy, and professionalism at all times.
DESIRABLE EDUCATION AND EXPERIENCE
- College degree in business or related field preferred.
- High school diploma or GED required.
- 5-8 years of executive-level administrative experience, ideally in a port, public agency, or government setting
SPECIFIC JOB SKILLS/ABILITIES MAY INCLUDE
(But are not limited to):
- Advanced proficiency in MS Office suite (Outlook, Word, Excel, PowerPoint); experience with SharePoint, Concur, and records systems is a plus
- Excellent verbal and written communication, editing, and presentation skills
- Superior organizational skills with the ability to handle multiple priorities under tight deadlines
- Strong interpersonal skills; ability to engage with elected officials, senior staff, and the public with tact and diplomacy
- High discretion, confidentiality, and political awareness required
- Ability to occasionally work outside standard hours or during events/meetings
