GENERAL STATEMENT OF JOB DUTIES
The Executive Assistant to the CEO serves as a trusted partner and administrative lead for the CEO. This role is responsible for managing the CEO’s calendar, coordinating meetings and events, preparing and reviewing correspondence and reports, supporting strategic initiatives led by the CEO and other members of the executive team. The position requires discretion, initiative, exceptional organizational skills, and the ability to manage sensitive information with the utmost confidentiality. .
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements, and anticipating scheduling conflicts. Serve as the primary point of contact between the CEO and internal/external stakeholders. Draft, edit, and format correspondence, reports, presentations, and other communications on behalf of the CEO and members of the executive team. Track deadlines, commitments, and follow-ups to ensure timely action and completion of tasks. Prepare agendas, take meeting notes, and manage documentation for executive meetings and board sessions. Coordinate logistics for executive-level meetings, including location, materials, catering, and technology. Assist in organizing and tracking progress on strategic initiatives and special projects as assigned by the CEO and members of the executive team. Maintain a system of organized files, records, and documentation in both digital and physical formats. Handle confidential and time-sensitive information with professionalism and discretion. Support relationship management with board members, elected officials, and external partners. Other duties as assigned.
MINIMUM QUALIFICATIONS AND REQUIREMENTS
Associate’s degree required; Bachelor’s degree preferred. Minimum of five (5) years of experience providing executive-level administrative support, preferably in a public agency, nonprofit, or complex organizational setting. Experience supporting a CEO, Executive Director, or other C-level executive strongly preferred . Exceptional organizational, time management, and multitasking skills. Strong written and verbal communication abilities. High level of discretion and professionalism in handling confidential information. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management and collaboration tools including SharePoint and Microsoft Teams. Ability to anticipate needs, take initiative, and work independently with minimal supervision. Strong interpersonal skills and ability to build effective working relationships across the organization and with external stakeholders. Demonstrated ability to remain composed under pressure and meet deadlines in a fast-paced environment.
Working Conditions:
Works in an office environment where there is minimum exposure to dust, noise, or extreme temperatures. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting operating facilities, during which the incumbent should observe all policies and procedures, safety precautions and regulations, and use all protective clothing and devices provided.
Physical Requirements:
Sedentary Work:
Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.
