POSITION

Executive Assistant To Superintendent/ Board Liaison

QUALIFICATIONS

Associate’s Degree preferred
Must possess fluent writing skills, interpersonal and oral communication skills, and organizational skills to prioritize tasks
Must have the ability to multi-task projects, people and events to perform the job effectively
Position requires a high level of confidentiality
Must be able to perform essential job functions without direct supervision
Must be Notary Public or willing to become one
Essential Job Functions for

Superintendent:

Places and receives telephone calls, records messages, and keeps the Superintendent
informed
Processes all incoming and outgoing mail and informs Superintendent of items of urgency
Assesses needs, orders, and maintains supplies, materials and equipment
Performs any accounting tasks associated with the specific position
Maintains regular filing systems and searches files for specific information
Maintains and schedules Superintendent’s Calendar
Schedules speaking engagements for Superintendent with community/civic organizations
and prepares packets of materials for distribution
Prepares agendas for Executive Council and Superintendent’s Cabinet Meetings
Attends Executive Council Meetings and prepares minutes for distribution
Plans and coordinates dinners/receptions for special events/meetings
Prepares agenda for Monthly Administrators’ Meetings and setup
Assists the Superintendent in preparing written responses to correspondence received
Utilizes current technology to complete tasks
Makes necessary arrangements for meetings including date, location, and time, contacts
those who need to attend, and prepares all materials on matters to be discussed
Accepts responsibility of office reports and office operations
Makes decisions in accordance with established policies and procedures
Interacts professionally and appropriately with the public and district staff in person and on
the telephone
Maintains a positive approach to public education and fosters favorable public relations
with internal and external customers
Performs other duties and responsibilities as assigned by the Superintendent
Essential Job Functions for

Board of Education:

Coordinates and assists with scheduling of meetings involving Board members
Schedules and attends pre-agenda meetings with the Superintendent, Chairman of the
Board of Education and Vice-Chairman of the Board of Education
Reviews draft Board meeting agendas with Senior Staff for input prior to pre-agenda
review
Responsible for the development and distribution of monthly electronic Board agendas
Attends all Board meetings (regular, work sessions, special called meetings)
Takes and transcribes minutes of all Board meetings
Works as a liaison with the School Board Attorney on matters such as agendas, minutes,
etc.
Maintains comprehensive files on all Board meetings, activities and correspondence
Maintains calendar of Board meetings and activities
Processes Board documents for Chairman’s signature
Responsible for dissemination of incoming and outgoing mail to Board members
Receives, directs and places phone calls relating to Board/Superintendent activities
Composes and prepares correspondence for the Board chairman and members as
directed
Personally handles oral or written inquiries, including substantive or sensitive questions
requiring research or technical knowledge and provides oral or written responses on
behalf, or for signature by, the Board Chairman, Board members as necessary and as
directed by the Superintendent or Board of Education
Coordinates attendance and travel arrangements for Board members for their
attendance at local, district, state and national meetings/conferences
Maintains file on all Board training credits that members receive for certification and
applies for credit for members for locally sponsored training
Serves as contact person for dissemination of information from NCSBA, NSBA, etc. and
provides data as requested
Performs other duties as assigned

Physical and Cognitive Requirements:

. Work in this classification is considered light physical work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
