The Role We are seeking a highly organized, proactive, and client-focused Executive Assistant to join our growing team and make a meaningful impact. This role is pivotal in ensuring that both our clients and advisors experience smooth, thoughtful, and timely interactions, setting the stage for long-term success. The Executive Assistant will manage calendars, oversee client communications, drive accountability within the team, and support advisor preparation for client meetings—creating opportunities to elevate our service and build stronger relationships. Responsibilities Calendar & Client Scheduling:

Own the management of the advisor and firm calendar Ensure unscheduled clients are proactively contacted and placed on the calendar for ongoing meetings Serve as a gatekeeper and planner of meeting logistics

Client Communication Oversight & Internal Accountability:

Be the first line of communication for many client requests, ensuring clients feel heard and cared for Coordinate closely with the client service team to ensure service requests (tickets) are properly handled Ensure proactive, clear, and timely communication happens with clients at every touchpoint Guide new clients through initial data-gathering steps with clarity and warmth Track onboarding progress by overseeing accountability, ensuring all team members are delivering on their responsibilities Hold internal stakeholders accountable to deadlines and commitments

Meeting Preparation & Advisor Support:

Compile clear, concise, and organized client overview documents for upcoming meetings Gather and package existing client data from various systems into one user-friendly summary for advisors Help advisors show up to meetings fully prepared and client-focused Monitor progress and follow up with team members to prevent details from slipping through the cracks Continuously look for ways to improve processes and enhance the client experience Qualifications Exceptional organizational skills and attention to detail Strong written and verbal communication skills Confident, friendly, and professional client presence A proactive problem-solver with a “see it, own it, solve it” mindset Comfortable holding others accountable with grace and professionalism Tech-savvy with comfort learning CRM and financial planning tools (experience with wealth management tech is a plus) Ability to handle sensitive information with discretion At least 5 yrs experience in a similar role What Success Looks Like The calendar runs smoothly and clients never feel forgotten.
