Executive Assistant Confidential Charlotte, NC 28214 Our client is a leading manufacturing company in the Charlotte area. They are currently seeking an organized and proactive Executive Assistant to provide comprehensive administrative support to their executive team in a fast-paced manufacturing environment. The ideal candidate will be highly detail-oriented, have exceptional organizational skills, and possess the ability to handle multiple tasks simultaneously. The Executive Assistant will serve as a critical point of contact for internal and external stakeholders, while assisting in managing daily operations and projects within the manufacturing sector.

Coordinate meetings, prepare agendas, take minutes, and follow up on action items. Serve as the primary point of contact between the executives and internal/external stakeholders, handling inquiries and requests efficiently. Assist with the management and execution of special projects within the manufacturing division. Support the tracking and reporting of project progress, ensuring that milestones are met. Prepare, proofread, and edit correspondence, presentations, and reports for executives. Act as a liaison for the executive team, ensuring clear communication between departments and external partners. Handle confidential and sensitive information with discretion and professionalism. Organize and maintain filing systems (both electronic and physical). Monitor and respond to emails and phone calls on behalf of the executives. Support the executive team with operational tasks, such as reviewing reports, vendor coordination, and supply chain management activities. Book travel, accommodation, and transportation for the executive team, ensuring the most cost-effective and efficient arrangements. Track and manage expenses, ensuring compliance with the company’s budgetary policies. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material. Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Executive Assistant Qualifications include:

Bachelor’s degree in business administration is strongly preferred. Three to five years prior executive administrative experience in supporting a senior executive team. Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel). ERP- Sage 100 and Nulogy experience preferred. Comfortable interacting with high-level executives. Someone who exhibits sound judgment with the ability to prioritize and make decisions. Energetic and eager to tackle new projects and ideas. A team player capable of cultivating productive working relationships across the organization. Must be able to work independently, be resourceful, and have a can-do attitude. Exceptional writing, editing, and proofreading skills. Excellent organization and time-management skills. Must have a strong sense of urgency. Must be able to work effectively and efficiently with all cross functional teams. Excellent communication skills required.
