Job Description

Executive Assistant 3.5 3.5 out of 5 stars 225 Baldwin Ave, Charlotte, NC 28204 We are searching for compassionate and energetic individuals to join our team. We are seeking a Full-Time Executive Assistant for our CEO and COO located in our mid-town Charlotte office. The ideal candidate has a minimum of 3-5 years of legal contract management/executive level administrative experience. Must have the ability to multi-task, deal tactfully with highly sensitive information, have a high degree of confidentiality, accuracy, and attention to detail. High degree of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) as well as online tools like Google Drive, Dropbox, Zoom, and Skype. Other helpful software skills include knowledge of document and file management, calendar management, and project management software. Highly developed interpersonal and communication skills. Interacts frequently with a broad range of internal and external stakeholders, including physicians, executives, external vendors, affiliates, and staff. Maintains records, contracts, and highly sensitive information for the practice. Develops and maintains a process to manage creation, renewals, and terminations of various partner, vendor, and real estate contracts. Manages complex meeting schedules, prepares agendas and meeting materials, and makes technology and catering arrangements as necessary. Makes detailed travel arrangements and itineraries. Maximizes the executives’ time by proactively addressing routine requests. Manages expense reporting and purchasing requests. Complies with all our processes and HIPAA regulations. Applies our values in decision-making and interactions with all individuals. Promotes a positive work environment through effective teamwork.
