Job Description This position is in office (5-days per week in office) and located in Charlotte, NC. Position Summary We are seeking a highly experienced and proactive Executive Assistant to provide strategic and administrative support to the Chief Technology Officer (CTO) of a global enterprise. This role requires exceptional organizational acumen, discretion, and the ability to operate effectively in a fast-paced, international environment. The Executive Assistant will serve as a trusted partner to the CTO, ensuring seamless coordination across global time zones, managing high-level communications, and supporting cross-functional initiatives across Research & Technology and Capital Project Execution. Key Responsibilities Executive Calendar & Prioritization Management Strategically manage the CTO’s complex global calendar, ensuring alignment with business priorities and optimizing time across multiple regions and stakeholders. Global Travel & Logistics Coordinate international and domestic travel, including visa arrangements, itineraries, and briefing materials, ensuring seamless execution and alignment with executive engagements. Executive Communications & Stakeholder Engagement Draft, review, and manage high-level correspondence, presentations, and reports. Serve as a liaison between the CTO and internal/external stakeholders, maintaining professionalism and confidentiality. Leadership Meeting & Event Coordination Plan and execute executive-level meetings, workshops, and global events, including logistics, agendas, and follow-ups. Support strategic initiatives and board-level reporting as needed. Financial & Budget Oversight Assist with budget planning, invoice processing, and expense reporting in compliance with corporate policies. Track and reconcile expenditures across global projects. Project & Document Management Maintain and organize sensitive documentation, project files, and executive dashboards. Create high-impact presentations and reports using Microsoft Office and collaboration tools. Confidentiality & Discretion Handle sensitive information with the utmost confidentiality and integrity, supporting high-stakes decision-making processes. Cross-Functional Support Provide occasional support to the Vice President of Capital Project Execution and collaborate with other Executive Assistants to ensure continuity and coverage across the executive team. Qualifications Bachelor’s degree or equivalent experience; minimum 7+ years supporting C-suite executives in a global corporate environment. Proven ability to manage complex, multi-time zone schedules and international travel logistics. Exceptional written and verbal communication skills; experience drafting executive-level communications. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms (e.g., Teams, SharePoint). Strong business acumen, organizational agility, and ability to anticipate needs in a dynamic environment. High level of discretion, integrity, and professionalism. Demonstrated ability to work independently, manage competing priorities, and drive results under pressure.
