Recruitment Range:

$45,000 – $55,000 The major purpose of this position is to provide administrative assistance to the Director of the agency in carrying out the various functions associated with this office and Division. This position also serves as staff support to the Commission for the Blind, State Rehabilitation Council and the Consumer and Advocacy Advisory Committee. The position serves as the primary link between the Division Director and DHHS, the general public, staff and others as needed. Job responsibilities but not limited to: Function as an office manager for the Division Director’s office. Serves as information liaison, for the Director’s Office and agency, assisting a large volume of internal and external customers regarding concerns, conflicts, inquiries and requests in a variety of mediums. Create, proofread and prepare documents (agendas, minutes, letters, presentations, reports and other materials of an important and/or confidential nature) for a variety of sources to include DHHS executive staff, divisions/offices, legislators, community partners/associations, other departments, etc.; multi-tasks in taking phone calls, answering correspondence, greeting guests or attending meetings; calendar management for Division Director; makes travel and hotel reservations for the Director; this person contacts management staff to obtain information for special reports required of the Director, to schedule meetings, etc.; this person receives calls/correspondence from other management staff, requesting information to assist them in projects on which they are working, to set up appointments, etc. Support to the Commission for the Blind, State Rehabilitation Council, the Consumer and Advocacy Advisory Committee, and other groups who meet relevant to the work of the Division. Attend Commission and Council meetings on a quarterly basis and prepare and distribute meeting agendas, minutes, and other correspondence. Assist the Director in preparing materials for members of these organizations and maintains an accurate list of relevant information about membership. Work closely with the Chair of the Commission/State Rehabilitation Council and the chair of the Consumer and Advocacy Advisory Committee. Respond to requests from the public for information about a variety of topics ranging from the work of the Division to laws, regulations, and policies affecting the work of the Division or benefits or services available to people in the State who are blind, visually impaired, or deafblind. Inquiries may come from consumers, other state agencies, out-of-state parties, etc. Because the position represents the Agency as a whole and the Director, it is imperative that accuracy and timeliness be part of the everyday operations. Must be able to determine priorities of meeting requests and make changes quickly, accurately, and often on very short notice; work within tight deadlines, manage complex projects, multiple priorities, and handle stressful situations with confidence decision making and judgment. Proven ability to manage the day-to-day operations of an office. Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; OR High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; OR
an equivalent combination of education and experience.
