Impact Managing Schedules:
Organizing and maintaining the executive’s calendar, including scheduling meetings and appointments, understanding the need for confidentiality and urgency
Communication:
Drafting, reviewing, and sending communications on behalf of the executive, such as emails and memos.
Meeting Preparation:
Organizing and preparing for meetings, including gathering documents and handling logistics.
Travel Arrangements:
Coordinating travel plans, including booking flights and hotels using Siemens Energy tools, and handling travel receipts & expense reports. Complete Visa applications for international travel.
Administrative Support:
Helping to prepare agenda, presentations and other materials for communication to staff and others. Provide strategic administrative and project management support for the executive. Onboarding and Offboarding of all employees. Ordering IT equipment and mobile phone devices for current new/current employees. Planning large workshops and conferences throughout the year. Updating monthly Financial Reports and other duties and projects as assigned. Creating Meeting Minutes for multiple monthly meetings and distribute to Executive Leadership Team. What You Bring You have at least a high school diploma or preferably a bachelor’s degree with a minimum of 2 years’ experience as an Executive Assistant and can demonstrate how you have succeeded in the role. You communicate clearly and professionally, whether it’s in writing or speaking, and you do it with a positive and approachable attitude and you are a motivated and proactive self-starter who can work independently with little direction or supervision. You work well under pressure and can meet deadlines in a fast-paced, ever-changing environment. Excellent time management skills. Applicants must be legally authorized for employment in the United States without need for current or future employer-sponsored work authorization.
