Location:
Garner, NC We are seeking a highly capable Executive Assistant to provide direct support to the leadership of a private real estate investment and development firm. This role blends traditional executive support with operational coordination across leasing, marketing, and systems management. Key Responsibilities Executive & Administrative Support Manage calendar, schedule meetings, site visits, and coordinate travel logistics Draft and edit professional communications, including investor updates and internal memos Prepare agendas, meeting notes, and follow-ups for internal and external meetings Maintain task lists, monitor deadlines, and anticipate upcoming needs proactively Perform data entry tasks accurately and efficiently. Answer phone calls, manage phone systems, and direct inquiries appropriately. Assist with personal assistant duties for executives or team members. Maintain organized filing systems for easy retrieval of information. Support team members with various administrative tasks as required. Real Estate Operations Support leasing operations, including tracking key dates and rent commencements Assist with tenant communications and maintain documentation across active properties Organize and update digital and physical lease files, permits, COs, and zoning records Monitor property and tenant milestones to ensure follow-through and Lease compliance. Coordinate with the maintenance staff and outside vendors to process tenant maintenance request. Marketing & Listings Update online listings Coordinate with photographers and vendors for property marketing materials Format and polish proposals, flyers, and other tenant-facing documents Support content creation for professional channels Systems & Process Support Help implement and maintain property management and CRM systems Organize vendor files, licenses, compliance documents, and internal records Track progress of projects, vendor tasks, and internal initiatives Communicate with accounting and legal teams to ensure continuity of operations Requirements Proven experience in office management or as an administrative assistant is preferred. Strong organizational skills with the ability to prioritize tasks effectively. Proficiency in computer literacy, including Microsoft Office Suite and QuickBooks. Excellent verbal and written communication skills. Ability to handle multiple tasks simultaneously while maintaining attention to detail.
