POSITION SUMMARY

The Executive Assistant to the Head of School is responsible for providing a full range of executive level administrative and logistical support to the Head of School, Chief Finance and Operations Officer (CFO), and the Board of Trustees. Serves as the primary liaison between the Head of School and all members of the Tilton School Community. Plans and coordinates meetings, events, dinners, special projects, and school initiatives. Serves as the primary liaison to the Board of Trustees, providing active and timely support and communication around Board and committee meetings, Commencement, and other Board-related activities. Demonstrates qualities of personal integrity, outstanding communication skills and attention to detail. Displays an ability to anticipate needs and conflicts, make independent decisions, prioritize tasks and work independently- as well as collaboratively- with all school community members. Establishes, nurtures, and sustains strong and highly collaborative relationships with stakeholders across the school and external community/constituents.

ESSENTIAL FUNCTIONS

Provides confidential, consistent, timely and professional executive level administrative support to the Head of School, CFO, and the school’s Leadership Team. Maintains the highest level of confidentiality regarding all sensitive correspondence and all interactions related to the Head of School’s Office and Board of Trustees. Maintains Head of School and CFO’s calendars. Reviews calendars regularly, paying particular attention to the All School calendar to help predict the future needs of the Leadership Team generally, and the Head of School specifically. Confirms appointments. Makes all travel arrangements-including creating itineraries-for all trips involving the Head of School and Chief Advancement Officer. Coordinates arrangements for Trustees and certain school guests by making local accommodations or preparing on-campus accommodations. Coordinates meetings and events associated with the Head of School by submitting work orders for facility set-up, catering requests and overseeing events successfully from start to finish. Works closely with the Coordinator of Special Events to support the planning and execution of campus events hosted by the Head of School. Maintains confidential Head of School’s files and records. Coordinates and completes annual institution filings/reporting for annual school memberships and surveys. Compiles information as requested, formatting reports, records and presentations. Attends External Team meetings to record and distribute minutes. Prepares expense reports, makes purchases, reconciles credit card purchases and helps manage Head’s Office budget. Assumes responsibility for other projects and duties assigned by the Head of School, CFO, and/or Chief Advancement Officer. Proof/edit letters and messages – responds to communication, drafts correspondence, and responses when necessary. Collaborates with leadership and key staff to design and execute strategic visit timelines and agendas for prospective candidates filling open positions at Tilton.

BOARD OF TRUSTEES

Provides executive support to the Board of Trustees, as requested. Supports the Board of Trustees by planning and scheduling the committee, executive, and full board meetings. Maintains the permanent record of the minutes, maintains trustee website, assists in compiling the Board report, schedules meeting spaces and technology needs, and makes all food and beverage arrangements. In collaboration with the Advancement Office and CFO, drive agenda-setting and logistical planning for Board Meetings. Oversees and manages vendor relationships and services provided at the discretion of the Head of School, CFO, or Board of Trustees.

PREFERRED QUALIFICATIONS

Bachelor’s degree Minimum of 5 years administrative work preferably in an education setting and/or relevant support experience. Excellent verbal, written communication and proofreading skills. Excellent organizational, time management, multi-tasking and follow-through skills. Ability to plan, prioritize and manage multiple competing projects on a daily and weekly basis. Knowledge of and proficiency with technology, specifically word processing (Microsoft Office and Google Suite), internet navigations, database and email correspondence. Familiarity with use of Blackbaud database software. Demonstrated ability to work collaboratively with diverse populations, including students, parents, faculty/staff and trustees. Flexibility to occasionally work long hours, including attendance at weekend and evening events. Ability to learn new skills and adapt to changing conditions.
