POSITION SUMMARY

Provides administrative support to CMC’s In-House Legal Department and extensions thereof, including the Risk Management Department and Corporate Compliance Department. Serves as the primary support to CMC’s General Counsel and the entire staff of the Legal, Risk, and Compliance Departments.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Coordinates Department related routine and ad-hoc meetings, including polling people for attendance, locating and reserving available conference rooms, scheduling, preparing and distributing agendas, coordinating presentations, and recording and distributing minutes. Maintains appointment book and calendar of events for the General Counsel and Risk Manager and coordinates with others in the Departments. Answers incoming telephone calls, screens and responds, or refers to appropriate staff members to respond. Consults with and informs appropriate persons of situations requiring attention serving as a both a filter to the legal, risk, and compliance departments but also helping serve more timely and responsive assistance to hospital management and staff. Collects, opens, sorts, screens, date stamps, and disseminates the Departments’ mail, delegating and forwarding as appropriate. Prepares outgoing mail, ensures appropriate copies of and electronic retention of outgoing mail copies, and ensures it makes deadline for courier pick up. Prepares reports, memos, letters, mailings, and other documents using word processing, spreadsheet, and database presentations software, which primarily includes Microsoft Word, Excel, and PowerPoint. Drafts written correspondence as required or directed. Assists the General Counsel and the Deputy General Counsel with the management and oversight of the Departments’ operational and capital budgets. Creates and maintains spreadsheets to establish and track budgeted items. Ensures expenses are within budgeted amounts. Coordinates the timely invoice and check request processing. Maintains appropriate supply level of materials in normal inventory; orders special supplies and items. Responsible for Departmental personnel issues including time cards, payroll, earned time request, expense reports, and on-call schedules. Performs photocopying, scanning, and internal and external filing duties. Assists the Risk Manager with the submission of First Notices of Loss. Establishes and maintains files and records for easy retrieval. Assists with the maintenance and consistency of shared electronic files. Assists CMC’s Paralegal with the administration of CMC’s electronic database for contracts, especially related to responding to CMC managers and directors regarding contract questions and requests for copies and necessary follow-up on contract negotiations, status reports, tracking down signatures, distributing final copies, etc. Assists CMC’s Risk Management Department with the administration of its incident reporting database especially related to responding to CMC employees regarding questions, requests, and inquiries for this database. Ensures and maintains confidentiality of employee, legal, client/patient, budget, and other CMC matters. Performs similar or related duties as assigned or requested. Under the supervision and direction of the General Counsel, Deputy General Counsel, Executive Director of Compliance, and Risk Manager, assists with certain transactional drafting, due diligence, management of due diligence data rooms, responses to regulatory agencies and responses and notices to insurance carrier and litigation matters. Assist the General Counsel with management of Board of Trustee governance matters, including maintenance of corporate records and management of Board of Trustee electronic portals (for all CMC affiliated entities). Assists with the enhancement, upkeep and management of the Corporate Compliance intranet site and assists with the development of a similar resource tool for Granite One affiliates. Assists as needed and directed to establish and maintain efficiencies and create work capacity capabilities for the Departments to more effectively support other Granite One affiliates.

What qualifications you will need:
QUALIFICATIONS
Education:

Associates Degree or equivalent education.

Experience:

At least five (5) years in a corporate organization. Experience in a law firm or healthcare organization a plus. Paralegal experience a plus.
