Executive Assistant to CEO Milvidskiy Law Firm LLC 29 North Farview Avenue, Paramus, NJ 07652 Milvidskiy Law Group P.C. is a dynamic and growing law firm dedicated to delivering exceptional service and personalized support to our clients. We are seeking a highly organized and tech-savvy Executive Assistant to support our CEO in day-to-day operations and strategic initiatives. Position Overview The Executive Assistant to the CEO will play a key role in managing the executive’s calendar, correspondence, and expense tracking, as well as assisting with financial reporting and QuickBooks reconciliations. The ideal candidate is a proactive problem-solver with excellent writing skills, strong attention to detail, and a high degree of professionalism.
Key Responsibilities:
Manage the CEO’s calendar, schedule meetings, and coordinate appointments Monitor, draft, and respond to email correspondence on behalf of the CEO Prepare and submit expense reports and track business expenditures Assist with monthly financial reporting and reconciliation in QuickBooks Maintain and organize files and records Create and edit professional written communications, reports, and presentations Curate and manage content for articles, educational videos, and other digital media Draft and schedule social media posts and support the firm’s online presence Assist with the design, formatting, and preparation of presentations, documents, and other content for publishing Coordinate internal and external meetings and communications Support special projects and operational tasks as needed
Qualifications:
Minimum 3 years of executive or administrative support experience (supporting senior leadership preferred) Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook, PowerPoint) Working knowledge of Canva, Adobe Acrobat, and Adobe Creative Suite (Photoshop and/or InDesign), or similar design tools Exceptional writing, grammar, and proofreading skills; ability to craft clear and professional messages Highly organized with the ability to prioritize and multitask effectively Discreet, trustworthy, and able to handle confidential information with integrity Strong communication skills, both written and verbal Tech-savvy and comfortable learning new tools and platforms
Preferred Qualifications:
Prior experience in a legal, finance, or professional services environment Experience with bookkeeping software (e.g., QuickBooks) and project management tools (e.g., Asana, Trello).
