We are currently partnering with our trusted client Persante, located in Mount Laurel Township, NJ, (19 miles from Philadelphia, PA), for a Chief of Staff/Senior Level Executive Assistant to the CEO. Role Overview:
This role is best suited for a proactive and organized Senior-level Executive Assistant, with a Chief of Staff mindset, to provide high-level administrative support to the CEO. This role will play a crucial role in ensuring the smooth operation of daily activities in a highly entrepreneurial environment, managing communications, and handling confidential information with discretion for a fast-moving CEO. They need a true professional who is smart, and can hit the ground running, as the trusted right hand to the CEO, remembering the littlest of details, to assisting with the largest of projects. Responsibilities:
Calendar Management:
Coordinate and manage the CEO’s calendars, scheduling meetings, appointments, and travel arrangements efficiently.
Executive Liaison:
Act as a liaison between the CEO and other executives, employees, and external partners, ensuring smooth communication and fostering relationships.
Communication:
Serve as the primary point of contact for internal and external stakeholders, screening calls, emails, and correspondence, and responding or redirecting inquiries as appropriate.
Meeting Coordination:
Prepare agendas, take minutes, and follow up on action items for meetings attended by the CEO and leadership team.
Document Preparation:
Draft, edit, and proofread presentations, reports, and correspondence on behalf of the CEO and leadership team.
Travel Arrangements:
Arrange complex and detailed travel plans, itineraries, and agendas, ensuring travel preferences and logistics are managed effectively.
Expense Management:
Track and reconcile expenses, process invoices, and maintain accurate records.
Project Support:
Assist in special projects and initiatives, coordinating cross-functional teams and ensuring deadlines are met.
Office Management:
Oversee general administrative office operations, including ordering required supplies, maintaining office equipment for CEO as requested,
Confidentiality:
Handle confidential information with integrity and discretion.
Requirements:
5-7 years proven experience as an Executive Assistant or similar role, supporting C-suite executives, President/CEO or senior management in a highly dynamic environment.
Problem-solving skills:
Demonstrated ability to identify issues and develop solutions proactively. Decision making.
Technological Proficiency:
Familiarity with modern office technologies and software, including project management tools and CRM systems, ex.
Zoho, Hubspot Leadership Abilities:
Capable of leading and managing small teams, when required, to accomplish specific tasks or projects. Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines. Strong interpersonal and communication skills, with the ability to build relationships and collaborate effectively across all levels of the organization. Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software. Bachelor’s degree in Business Administration, Office Management, or experience in a related field (preferred but not required).
Compensation Potential:
Annual salary range
