Description The overall responsibilities of the Executive Administrative Assistant to the Dean are to assist the Dean by performing advanced, diversified, and confidential clerical, office, and administrative duties in these primary areas: faculty and course assessment and evaluation activities, budget management, General Education assessment, program and departmental coordination, and special projects as assigned. Examples of Duties Responsible for overseeing evaluation records and assessment data required for Middle States accreditation and APSS evaluations of programs. 15 Responsible for assisting Dean and Associate Dean in creating, maintaining, and generating reports required for assessment purposes for the School and General Education curricula. 10 Represents the Dean to internal and external constituents in a professional manner and serves as a primary contact for individuals wanting to speak to or meet with the Dean. Regularly handles confidential or sensitive information and exercises discretion concerning the handling, dissemination, and disposal of such information. 20 Manages budget and drafts recommendations to Dean on School and departmental funding and oversees PCard transactions for the Dean’s office 10 Manages all scheduling and coordinates events and meetings for School-level activities. Makes decisions on interpretation of policies at the discretion of the dean. 5 Supports Dean in developing programs for new faculty and chair training for School 5 Analyze course and program enrollments for recommendation on offerings and supports department chairs in managing course scheduling and advising 15 Performs all other duties and responsibilities as assigned. 20
Supplemental Functions:
Duties and special projects as assigned by the Dean of Arts & Sciences and Associate Dean of Arts & Sciences Typical Qualifications Associate’s degree Required. Bachelor’s is preferred. A minimum of three years of relevant professional experience, with evidence of strong organizational skills and attention to detail, is required. Demonstrated experience in working with executive management. Higher education administration experience is preferable. Ability to handle highly confidential material, understanding that all University information should only be disclosed to others who have a need to know for legitimate business reasons. Have the ability to exercise and apply sound judgment and decision-making skills as well as the ability to maintain integrity and confidentiality Demonstrate professionalism and ability to establish and nurture effective working relationships Independent critical thinking skills Enhanced interpersonal skills and high leadership aptitude Able to communicate effectively orally and in writing Competency in ensuring proper accounting of School budget transactions Strong organizational skills Advanced knowledge of Microsoft Office software (specifically Outlook, Word, Excel, and PowerPoint) as well as the ability to stay current with emerging office technologies Working Conditions / Physical requirements Required on campus presence. Physically able to lift various materials up to 25 pounds on an occasional basis. Possess ability to type, operate a computer and other office equipment, perform filing, and related job responsibilities.
