Role Overview:

We are seeking a highly organized, experienced Executive Assistant to support our CEO & Founder in day-to-day operations, with the opportunity to grow into an Operations Manager role. The ideal candidate is based in New York City, comfortable working in a hybrid environment, and has a strong background in administrative support, finance coordination, and team management. This role is essential in supporting company leadership through a growth and restructuring phase, ensuring operational efficiency, and helping to establish systems that support long-term sustainability.

Key Responsibilities:

Manage and organize high-volume email inboxes; draft and prioritize communications Oversee scheduling, calendar management, and meeting preparation Coordinate domestic and international travel, including flights, accommodations, and itineraries Assist with event planning and logistics, including showroom appointments, trunk shows, and fashion industry activations Provide administrative support including document editing, data entry, and file management Assist with light bookkeeping and vendor communications regarding invoices and payments Help monitor cash flow planning and internal payment cycles Follow up with team members on key performance indicators (KPIs) and deliverables Support operational process improvements across departments Liaise between leadership and staff to ensure task accountability and alignment

Qualifications:

Minimum 5 years of experience in executive support, operations, or administrative management NYC-based and available to work from the office on select days Experience coordinating events and complex travel logistics Strong organizational and time-management skills Excellent written and verbal communication skills High level of discretion, professionalism, and initiative Proficient in Google Workspace; familiarity with bookkeeping and project management tools is a plus (e.g., QuickBooks, ClickUp, Notion) Interest in long-term growth within an evolving fashion business
