Position Overview:
The Office Executive Assistant will play a crucial role in supporting the daily operations of our executive team. This role requires a professional who is organized, detail-oriented, and capable of handling multiple tasks efficiently. The Executive Assistant will ensure that executive operations run smoothly and facilitate effective communication within the company and with external partners.
Key Responsibilities:
- Manage and organize executive schedules, meetings, and travel arrangements.
- Handle confidential information with discretion and integrity.
- Prepare and edit documents, reports, and presentations.
- Coordinate internal and external communications on behalf of the executive team.
- Serve as a point of contact between executives and employees, clients, and vendors.
- Assist in planning and executing company events and meetings.
- Perform general office duties, such as ordering supplies and managing office equipment.
- Assist with special projects and initiatives as required by the executive team.
Additional Responsibilities:
- Review walkers’ score cards on a weekly basis and discuss training for those who perform poorly.
- Conduct in-office training for walkers rated as fair and poor on their score cards.
- Review invoices and address any discrepancies.
- Review toll bills for accuracy.
- Ensure company compliance with the regulations of NY and NJ.
- Assist in scheduling walker and driver training sessions.
- Review immigration statuses and create tracking systems with Google Docs.
Qualifications:
- Proven experience as an executive assistant or related administrative support role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
- High degree of professionalism and ability to maintain confidentiality.
