Full Time, Monday- Thursday 9:00 am to 6:00 pm and Friday 9:00 am to 5:00 pm

Are you an organized, tech-savvy professional who thrives in a fast-paced environment? We’re seeking a proactive Executive Assistant to support our dynamic executive team. In this role, you’ll play a crucial part in streamlining operations, managing schedules, and providing high-level administrative support that enhances executive productivity and organizational efficiency.

What you will be doing:

Manage complex calendars, appointments, and travel itineraries for C-suite executives (CEO, COO, CFO). Serve as the primary point of contact between executives and internal/external stakeholders. Draft, proofread, and manage communications, including emails, reports, and presentations. Coordinate and prepare materials for meetings and ensure follow-ups are completed. Handle phone calls, messages, and correspondence with professionalism and discretion. Track budgets, process expense reports, and oversee company credit card and cell phone accounts. Provide personal assistance to the CEO and family, including travel and household management. Support real estate operations by maintaining leasing documents, collecting tenant payments, and verifying insurance and event agreements. Troubleshoot minor IT issues and liaise with external IT providers. Oversee office supply inventory, equipment maintenance, and subscription management. Collaborate with HR to post jobs, source candidates, and support onboarding processes.

What you will need:

Proven experience supporting C-suite executives as an Executive Assistant. Strong background in calendar management, travel planning, and office administration. Tech-savvy with the ability to quickly learn and master new systems. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Exceptional organizational skills and attention to detail. Ability to handle confidential information with discretion. Strong interpersonal and communication skills. Flexibility to adapt to shifting priorities and occasional work outside of regular hours.
