Job Summary:

We are seeking a highly organized and proactive Administrative/Executive Assistant to provide critical support to a senior executive and their team within a fast-paced business environment. This role requires exceptional attention to detail, superior time management, and strong communication skills to manage a wide range of administrative responsibilities and special projects. The ideal candidate will be a self-starter who takes initiative, operates with discretion, and can confidently support leadership priorities across multiple teams The position is a 4 day a week hybrid position, based in or near New York City office.

Key Responsibilities:
Executive Support:

Manage a complex calendar of appointments and meetings for one or more executives; anticipate scheduling needs and conflicts.

Meeting Coordination:

Schedule internal and external meetings, prepare agendas, capture and distribute meeting minutes, and follow up on action items.

Travel & Logistics:

Coordinate domestic and international travel, including itineraries, accommodations, and transportation.

Expense Reporting:

Prepare, track, and submit expense reports in compliance with company policy.

Multi-Team Support:

Simultaneously support up to three teams; prioritize tasks and communications based on urgency and visibility.

Project Assistance:

Support moderately complex projects and contribute to implementation of policies and procedures within the team.

Stakeholder Communication:

Act as a liaison for internal communications, ensuring messages to and from the executive’s office are clear and timely—especially when interfacing with 3 separate executive leaders.

Event Planning:

Manage onsite and offsite meeting logistics, including catering and vendor coordination.

Documentation & Correspondence:

Draft, edit, and disseminate professional correspondence, documentation, and reports.

Problem Solving:

Proactively identify and resolve issues; exercise autonomy and judgment in addressing escalated matters.

Qualifications:

8+ years of administrative or executive assistant experience Strong organizational and time management skills Proficiency in Microsoft Word and Excel Proven experience managing multiple calendars and coordinating complex schedules Excellent verbal and written communication skills Demonstrated ability to manage travel arrangements and expense reports

Preferred Experience:

Experience supporting multiple teams or departments simultaneously Familiarity with onsite and offsite event coordination, including working with external vendors Ability to operate independently, anticipate needs, and resolve issues without direct oversight Previous experience interacting with senior leadership or executive teams Strong multitasking abilities in a dynamic, fast-paced environment Bachelor’s degree preferred.
