Job Description
Global law firm is seeking an Executive Assistant to support a C-Suite executive in NYC. The ideal candidate will have prior experience supporting senior executives and Board of Directors matters in a fast-paced, professional environment such as a law firm, financial institution, or consulting firm.
Salary:
$130-150K base, plus discretionary year-end bonus
Schedule:
Fully on-site, 5 days per week
Hours:
9:00 AM – 6:00 PM+, flexibility required for after-hours support, especially during travel
Responsibilities:
Provide high-level executive support to the C-Suite, including complex calendar management, heavy scheduling, and rescheduling Coordinate comprehensive domestic and international travel arrangements, including itineraries, transportation, and accommodations Manage all logistics related to Board of Directors meetings, including scheduling, document preparation, communications, agenda coordination, and distribution of sensitive materials Process expense reports and time entry in a timely and accurate manner Serve as the gatekeeper and point of contact for internal and external stakeholders, including senior leadership, partners, and department heads Attend meetings to support documentation, action items, and awareness of firm priorities Draft, edit, and proofread presentations, decks, proposals, and internal communications Assist with project coordination and event logistics as needed Serve as a strategic thought partner to the COO, helping guide priorities and optimize time Leverage technology tools to maximize efficiency, including collaboration platforms and internal systems
Requirements:
Bachelor’s degree required Prior experience supporting Board of Directors or executive committee meetings is strongly preferred Advanced proficiency in Microsoft Office Suite, Adobe, Zoom, and Outlook Exceptional communication skills, both written and verbal Strong organizational and time management skills; ability to multitask under tight deadlines Detail-oriented with excellent judgment and a high level of emotional intelligence Discretion and professionalism in handling confidential firm matters Positive, proactive attitude with a strong customer service orientation Commuting distance to Manhattan and ability to work on-site 5 days per week
