Job Description

We are seeking a highly organized and tech-savvy individual to join our team as a Personal Assistant/Executive Assistant to a busy couple. The ideal candidate will be smart, capable of becoming an integral part of the couple’s support team, and available to start immediately. This role requires a 24/7 mentality, flexibility to travel as needed, and will collaborate heavily with the family’s butler/house manager on projects and household tasks.

Requirements:

Highly organized and smart Experience dealing with high-profile busy executives and professionals, families with kids and multiple homes, complex lives Tech-savvy with proficiency in Excel, Trello, Google Sheets, and other software Available to start immediately 24/7 mentality Proactive and self starter Open to travel

Responsibilities:
Event Coordination:

Work with house manager in selecting and arranging tableware and flower arrangements for events and daily use.

Household Management:

Manage the schedules of three nannies, part-time chefs, and housekeepers.

Working directly with house manager / butler to execute all tasks and handle logistics/back of house for any household needs

Reservations and Appointments:

Make reservations for restaurants, events, and travel; schedule and coordinate doctors’ appointments.

Travel Coordination:

plan and book flights / hotels directly and Act as a liaison with the travel agent; create detailed itineraries and liaise with house manager/butler on this

Administrative Support:

Handle email correspondence, manage calendars, and coordinate meetings.

Errand Running:

Run personal errands as needed, including shopping, dry cleaning, and other tasks.

Financial Management:

Assist with budgeting, expense tracking, and bill payments.

Confidentiality:

Maintain strict confidentiality and discretion regarding personal and professional matters.

Communications:

Act as a point of contact for various stakeholders, filtering information to the appropriate parties.

Project Management:

Assist with special projects and initiatives as needed.

Tech Support:

Troubleshoot basic technical issues and ensure that all devices and software are up-to-date.

Reporting:

Prepare reports, presentations, and other documents as required.

Event Planning:

Plan and organize social events and gatherings, including logistics and vendor coordination.

Household Supplies:

Manage the inventory of household supplies and ensure timely restocking.

Schedule:

Monday – Friday, business hours with flexibility.

Compensation:

$120,000 – $150,000 with benefits
