After 90 days of employment, the successful candidate will have the opportunity to work from home for 2 days per week. This work-from-home option allows for increased flexibility and work-life balance.
Summary of Position
The position provides confidential administrative support to both the Business Office and Human Resources function. The Executive Assistant will be responsible for supporting key administrative processes including employee onboarding, purchasing and payment processing, maintaining personnel and business records, coordinating internal communications, and preparing reports. Essential Job Responsibilities
Provide confidential administrative support to Business Services, which is inclusive of all business office and human resources functions, and other 21CCCS departments as needed.
Assist in maintaining accurate and up-to-date business services records, including employee documentation, absence tracking, and compensation-related paperwork.
Coordinate and process paperwork related to onboarding and offboarding, including collection of new hire documents, creation of personnel files, benefits paperwork, and clearance tracking.
Support the procurement and payment processes by submitting and tracking purchase orders, processing vendor invoices, and assisting with inventory management and reconciliations.
Serve as a point of contact for employee questions regarding administrative processes across business services, providing timely and accurate information or routing inquiries appropriately.
Schedule and coordinate interviews, meetings, onboarding sessions, and training sessions for new employees and staff across 21CCCS.
Assist with compiling and maintaining data for reports related to compensation, benefits, employee demographics, and state/federal compliance.
Perform general office tasks such as ordering supplies, managing calendars, filing documents, and ensuring the confidentiality of all personnel and financial records.
Collaborate in the creation and maintenance of departmental procedure manuals for all core functions of business services.
Coordinate communications and distribute updates or materials to employees on behalf of business services.
Maintain a working knowledge of systems such as CSIU FIS, SCView, and other platforms used within business services.
Provide logistical and clerical support during audits, budget development, and other cyclical administrative processes.
Attend meetings as requested and take accurate notes, following up on key action items as directed by the Business Administrator and/or HR Generalist.
All other duties as assigned by the Business Administrator, HR Generalist, and/or CEO.

Ability to effectively prioritize and manage multiple projects related to the Business Administrator, HR Generalist and/or CEO simultaneously and independently, following through on issues in a timely manner.
Ability to proficiently manage established business office processes related to purchasing, subscriptions/memberships, reimbursement and budget controls for assigned departments.
Strong oral and written communication skills, with demonstrated ability to work effectively with diverse stakeholders.
Highly skilled knowledge of computer software programs, including database management, Adobe, MS Office and Google Suite.
Ability to proficiently utilize spreadsheet formulas and functions in execution of assigned tasks.
Maintain confidentiality at all times and reflect the highest standard of professionalism.
QUALIFICATIONS
A. Education and Experience High School Diploma required; Bachelor’s Degree in Business, Management, or Human Resources preferred. Prior clerical experience in a similar environment required; Prior Business and/or Human Resources experience preferred. B. Professional or Other Required Certifications
