Lansdale, PA (on-site) Full-time, salaried (with benefits) About the Role VMSC Emergency Medical Services is seeking a proactive and highly organized Executive Assistant to support both the Chief Executive Officer and Chief of Staff. This isn’t a reactive, task-only admin role. We’re looking for someone who thrives in a fast-paced environment, can think two steps ahead, and brings a strong sense of ownership to keeping our executive team focused, informed, and on track. You’ll be the right hand to two leaders working across strategic initiatives, partnerships, operations, board engagement, and organizational growth. You’ll manage schedules, streamline internal communication, handle follow-ups, prepare materials, and make sure nothing falls through the cracks. You’ll also help us keep projects moving by routing tasks to the right team members, tracking progress, and making sure deadlines are met. This role is ideal for someone who is sharp, systems-minded, and confident communicating with internal teams, board members, and external partners. You’ll also handle critical logistics like travel, ordering supplies, coordinating meals, and supporting leadership with day-to-day needs. Key Responsibilities Manage dynamic calendars for the CEO and Chief of Staff, prioritizing meetings and resolving scheduling conflicts Monitor and respond to emails, flag priorities, and draft communication on behalf of leadership when needed Prepare materials, summaries, and background documents for internal and external meetings Track follow-up tasks and ensure internal and cross-departmental accountability Route requests, tasks, and meeting outcomes to appropriate members of the leadership team and follow up as needed Coordinate logistics for executive meetings, including board and leadership team sessions Assist in drafting memos, reports, presentations, and agendas Run basic reports from internal systems (e.g., scheduling, payroll, dashboards) to keep leadership informed Organize digital files, OneNote notebooks, meeting notes, and reference material across projects Book travel, coordinate accommodations, and prepare travel itineraries for leadership Order supplies, meals, and other resources needed to support executive operations Maintain confidentiality and professionalism at all times while engaging with internal and external stakeholders Proactively suggest ways to improve systems, processes, and workflows that impact executive effectiveness What We’re Looking For 3+ years supporting senior executives or department heads in a fast-moving, complex organization Excellent written and verbal communication skills Extremely organized and dependable, with strong attention to detail Able to manage up, ask the right questions, and follow through without needing daily direction Comfortable juggling multiple priorities and knowing when to shift focus Confident using Microsoft 365, especially Outlook, OneNote, Teams, Word, Excel, and PowerPoint Experience handling confidential information with discretion Comfortable in a mission-driven environment with evolving priorities Bonus Points Familiarity with EMS, healthcare, or nonprofit environments Experience preparing board materials, presentations, or strategic reports Comfort using project/task tracking tools like Microsoft Planner, Asana, or Trello Ability to help create and maintain dashboards or executive updates using simple data tools
Compensation and Benefits Salary Range:
$60,000-$72,000 annually, based on experience and qualifications.
