Apply to Our Open ExecutiveAdministrative Assistant Position Today!’ Job ResponsibilitiesResponsible to provide the Center Directors Office with high-leveladministrative support. Functions as the Centers leadadministrative assistant and delegates and prioritizes tasks amongother clerical and administrative positions. Assists the HumanResources Department by providing technical assistance related topersonnel information processing, computer input and reporting andfringe benefit administration. May assume acting positions withinthe Human Resources Department. Ensures strict confidentiality ofsensitive information. Follows all integrity guidelines andprocedures and ensures no manipulation of student data Conductsresearch, prepares statistical reports, handles informationrequests, and performs clerical functions such as maintainingrequired documentation, sorting/distributing mail, preparingcorrespondence, receiving visitors, arranging conference calls, andscheduling meetings. May make travel arrangements as necessary.
Ensures timely submission, logging and tracking of all Centercontract deliverables, requests, reports and correspondence.
Drafts, writes and proofs correspondence. Responsible for thequality of internal/external communications with the CorporateOffice, Department of Labor and outside organizations. MaintainsJob Corps/Company systems and libraries. Prepares, coordinates anddistributes Centers weekly newsletter. Works with Center staff toobtain newsletter articles and Center highlights. Prepares anddistributes meeting minutes. Provides administrative support toother departments and provides training to other clerical staff asneeded. Provides technical and administrative assistance to theHuman Resources Department related to personnel informationprocessing, computer input and reporting, fringe benefitadministration. Produces quality work and completes assignments ina thorough, timely and accurate manner. Maintains appropriatepersonal attendance, accountability and work productivitystandards. Plans, prioritizes and organizes assignments to meetestablished goals and deadlines. Understands and applies jobknowledge to effectively complete all required jobresponsibilities. Proactively maintains the skills required toperform job duties. Mentors, monitors and models the Career SuccessStandards as required by the PRH. Provides high-quality supervisionand management for the student population. Takes swift andappropriate action and positively influences student behavior.
Shows respect and courtesy to students and holds them accountablefor their actions and behavior. Provides quality programs andservices for students and ensures that quality is maintained andstudent needs are met. Pursues improvement and enhancement ofprograms and services. Exchanges ideas and information, both orallyand in writing, in a clear and concise manner and contributesmeaningfully to group efforts by offering relevant ideas andknowledge. Provides quality and timely information to DOL/Companywhen requested. Effectively articulates thoughts and ideas.
Identifies problems, analyzes causes and evaluates appropriatesolutions prior to taking or recommending actions. Follows up toensure prompt/appropriate action is taken and ensuring thatproblems are in fact corrected. Works in partnership with stafffrom all Departments to ensure effective supervision and servicesare provided to students. Accepts direction and supervision fromthe Center Director/Center Duty Officer/Shift Manager to includeassignments to temporarily perform job responsibilities of otherdepartments and positions. Other duties as assigned. QualificationsHigh School diploma or equivalent required. Advanced degreespreferred. A minimum of five years advanced administrativeexperience required. Degree or certification from an accredited orcertified training program in clerical or administration preferred.
