Job Description
Executive Assistant to the President Bethesda Family Services Foundation Inc. 260 Reitz Boulevard, Lewisburg, PA 17837 Executive Assistant (EA) to the President provides high-level administrative and operational support to the President of the organization, acting as a key liaison. Responsibilities include managing the President’s calendar, coordinating travel and meetings, preparing documents, and serving as a point of contact for internal and external stakeholders.
Key Responsibilities:
Calendar Management:
Scheduling appointments, prioritizing meetings, and managing the President’s calendar to optimize their time.
Travel Arrangements:
Making travel arrangements, including flights, accommodations, and creating detailed itineraries.
Communication:
Serving as a point of contact for the President, managing correspondence, and drafting/editing documents.
Meeting Coordination:
Organizing and managing meetings, conferences, and events, including preparing agendas, materials, and logistical arrangements.
Office Management:
Overseeing the daily operations of the President’s office, maintaining files, and managing supplies.
Liaison:
Acting as a liaison between the President and other stakeholders, including board members, senior management, and external contacts.
Project Support:
Assisting with special projects, research, and report preparation.
Confidentiality:
Maintaining strict confidentiality and handling sensitive information with discretion.
Essential Skills:
Exceptional organizational and time management skills . Strong communication and interpersonal skills . Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software . Ability to multitask and prioritize effectively . Excellent problem-solving and decision-making abilities . Discretion and ability to handle confidential information . Knowledge of office management principles and practices .
Typical Qualifications:
Bachelor’s degree preferred, with relevant experience in an executive administrative or office management role. Proven experience in providing high-level administrative support to executives. Experience in managing complex calendars, travel arrangements, and meeting logistics. Strong written and verbal communication skills. Excellent organizational and problem-solving skills
