Job Description:

This strategic role supports the Vice President of Enrollment Management through complex administrative duties. Under the direction of the Vice President for Enrollment Management, this position involves complex and highly responsible administrative work, requiring independent judgment to manage the office’s daily operations. The role aims to create a customer-focused environment and ensure that the Division of Enrollment Management operates organizationally and efficiently. Responsibilities include managing the Vice President’s daily office activities and workflow, which requires high confidentiality.

Outcome:

The executive assistant will effectively oversee the Vice President’s Office operations and be a key member of the Enrollment Management team.

Supports the Vice President of Enrollment Management and Leadership Team (30%)
Schedule appointments, maintain a daily calendar, independently resolve scheduling conflicts, and handle meeting logistics. When needed, prepare materials for the Vice President’s meetings.
Develop and edit letters, presentations, reports, emails, memos, itineraries, and other correspondence as needed.
Collaborate with the administrative support staff in the President’s Office, other members of the President’s Cabinet, administrators, faculty, and professional and support staff.
Addresses conflicting needs efficiently and proactively and ensures successful project completion.
Work collaboratively to ensure that all division staff are appropriately advised of issues that directly affect them or matters relevant to the division’s operation and that confidentiality is maintained. Attend and participate in Enrollment Management leadership meetings, VP staff meetings, VP Administrative meetings, and other meetings/committees as directed by the VP.
Schedules division meetings, manages the agenda and minutes, and assists the vice president in preparing for various meetings and presentations.
Coordinates management and daily work flow for the Vice President’s Office (40%)
Work with the Vice President to track and monitor department budget expenses and handles all invoices/purchasing requests.
Ensure fiscal responsibility by actively monitoring and managing the budget; keeping the VP informed of budget status and working with the budget office, directors and administrative staff to ensure fiscal responsibility. Work with the VP to determine best funding sources for various projects.
Assists the Vice President in preparation for the annual budget process, such as ensuring Enrollment and Marketing Units submit budget requests on time and compile budget information for the Vice President in advance of budget meetings.
Serve as the first point of contact for the Vice President for Enrollment Management and provide prompt, high-level customer service.
Manage and maintain the communications of the Board of Trustees and items related to the Strategic Initiatives, Enrollment, and Marketing ad hoc committee.
Coordinates the onboarding process for new Division of Enrollment Management members, addressing staff and office changes on a case-by-case basis.
Manages the division’s purchasing card (Chrome River) process.
Arranges travel for senior leadership team members within the Division of Enrollment Management.
Maintain office supply inventory for the Division of Enrollment Management and office equipment.
Coordinates and assists with the Strategic Enrollment Management Council.
Manages a variety of special projects (15%)
Coordinate, manage, and complete high-level projects; collect, collate, and assemble data in appropriate formats.
Serves as a liaison between the Vice President and the Tri-Alpha National Honor Society.
Co-coordinates the Tuition Exchange Program.
Manages yearly updates to the college’s catalog for the enrollment management division. Create and maintain Division-level reporting documentation as needed in the ongoing oversight of Enrollment Management (10%) Support events managed by the Enrollment Management Division, including arrangements for facilities and staffing (5%) Associate Degree or equivalent; Bachelor’s degree preferred
3-5 years of administrative/office management experience
