Full Job Description Position Overview:
We are seeking a highly organized, proactive, and detail-driven individual to serve as a hybrid Executive Assistant and Bookkeeper . This role will be instrumental in supporting the Owner and Project Managers with day-to-day administrative operations, bookkeeping, financial reporting, and project accounting activities. The ideal candidate will be experienced in QuickBooks, comfortable managing confidential information, and able to thrive in a fast-paced, deadline-driven environment.
Key Responsibilities:
Executive & Administrative Support Manage and organize the Owner’s schedule, including meetings, calls, and deadlines. Monitor and respond to high-priority emails on behalf of the Owner. Prepare agendas, meeting notes, and follow-up tasks from internal and external meetings. Coordinate travel, events, and appointments. Assist with document preparation, formatting, and electronic filing of proposals, contracts, and certifications. Maintain corporate files, registrations, and compliance documents. Bookkeeping & Financial Management Daily data entry and reconciliation in QuickBooks Online (bank, credit cards, vendors, payroll). Process and track accounts payable (A/P) and accounts receivable (A/R). Manage vendor payments and follow up on outstanding receivables. Reconcile bank statements and prepare monthly financial reports. Assist CPA with financial reports and documentation during audits or tax filing. Project Accounting & WIP Management Work closely with Project Managers to track budgets, expenses, billing, and change orders. Maintain and update Work-in-Progress (WIP) reports weekly or bi-weekly. Assist in preparing government pay applications (e.g., G702/G703 forms) and schedule of values. Track subcontractor billing, lien waivers, and insurance certificates. Coordinate with estimating team for cost tracking and projections. Operations & Process Improvement Assist in maintaining internal systems and SOPs to streamline processes. Identify ways to improve back-office efficiency, reporting, and financial visibility. Support HR onboarding of new hires with necessary paperwork, benefit enrollment, and onboarding checklists.
Qualifications:
Minimum 3-5 years experience in a similar administrative/bookkeeping role, preferably in the construction or government contracting industry. Proficiency in QuickBooks Online (required). Strong understanding of accounting principles and construction job costing. Experience with WIP schedules , pay applications , and progress billing . Exceptional communication, organizational, and time-management skills. High attention to detail and ability to multitask in a fast-paced environment. Advanced proficiency in Microsoft Office Suite (especially Excel), and document control platforms. Experience working with federal agencies or on government-funded projects is highly desirable. Bachelor’s degree in Accounting, Business Administration, or a related field is preferred but not required.
