You will be the first point of contact for customers, manage scheduling and dispatching, and assist with day-to-day operations to ensure our field teams and administrative processes function efficiently. Other responsibilities include supporting Senior Leadership in day to day operations as needed.
Key Responsibilities Customer Service & Reception:
- Answer phone calls, emails, and online inquiries with professionalism and care.
- Provide service information, create service tickets, and communicate customer job updates.
- Maintain a calm, solutions-oriented tone in all customer interactions.
Scheduling & Dispatching:
- Schedule and coordinate service calls for HVAC, plumbing, handyman, and other service departments.
- Manage technician calendars, optimize routing, and adjust schedules as needed.
- Dispatch technicians based on skillset, urgency, and location.
- Confirm appointments, send reminders, and follow up after service is completed.
Operations Management Support:
- Monitor daily workflow to identify and resolve scheduling or staffing issues.
- Track job progress, technician availability, and material needs.
- Assist in workforce planning by identifying gaps in coverage and suggesting adjustments.
- Maintain organized records of jobs, technician performance, and customer feedback.
- Support inventory management by tracking materials used and coordinating reorders.
- Help streamline office systems and operational procedures to increase efficiency.
- Coordinate with vendors, subcontractors, or other third-party service providers as needed.
Administrative Duties:
- Input and maintain customer and job information in CRM or dispatch software.
- Create and manage work orders, service records, and internal documentation.
- Assist with billing, invoicing, and job costing as needed.
- Generate weekly reports on job status, team productivity, and scheduling metrics.
Qualifications Required:
- High school diploma or equivalent.
- 1-2 years in a receptionist, dispatcher, or administrative role.
- Strong communication, problem-solving, and multitasking skills.
- Comfort with scheduling and office software (Google Workspace, Microsoft Office, etc.
).
Preferred:
