This role serves as a key administrative liaison and is responsible for coordinating and executing a variety of functions vital to academic operations. The Executive Assistant will play a central role in course scheduling, policy administration, and committee support, ensuring accuracy, compliance, and efficiency in the Registrar’s Office.
Key Responsibilities Course Scheduling and Data Management:
Enter, update, and maintain course schedules in the university’s student information system in coordination with academic departments. Ensure course data integrity, including meeting times, room assignments, instructor information, and modality. Monitor and resolve scheduling conflicts in collaboration with the Registrar and academic units.
Committee and Council Support:
Serve as the Recording Secretary for the Graduate Council and the Curriculum Committee. Prepare meeting agendas, take detailed minutes, and maintain accurate records of committee decisions and documentation. Distribute materials and follow up on action items as directed by the Registrar and committee chairs.
Academic Integrity Policy Administration:
Manage the tracking, documentation, and enforcement of the University’s Academic Integrity policy. Serve as a point of contact for faculty and students regarding policy procedures and case submissions. Maintain confidentiality and integrity in handling sensitive student and faculty information.
Administrative Support:
Provide high-level administrative assistance to the University Registrar, including scheduling, communications, and document preparation. Assist with special projects, reports, and institutional initiatives as assigned. Respond to inquiries from faculty, staff, students, and external stakeholders with professionalism and efficiency. Required Skills and Attributes Associate’s degree with at least three (3) years of administrative experience, preferably in a higher education setting. Demonstrated proficiency in Microsoft Office Suite and database systems. Strong organizational, interpersonal, and written communication skills. Ability to handle confidential information with discretion. Excellent attention to detail and ability to manage multiple tasks with competing deadlines. Preferred Qualifications Bachelor’s degree. Experience with academic scheduling and student information systems (e.g., Jenzabar).
