This is an exciting moment for the South Carolina State Museum as it embarks on its Reimagine the Experience campaign to revolutionize the museum experience for our visitors and expand our impact state-wide. This collaborative campaign will allow the museum to share more of its extensive collection of over 1.1 million objects and specimens and renew over 150,000 square feet with updated permanent exhibitions and immersive multimedia experiences which highlight fascinating stories and people throughout South Carolina’s history. The South Carolina State Museum is seeking an Executive Assistant to provide high level comprehensive support to our Executive Office, including the Executive Director and Chief of Staff.
In this vital role, you’ll be at the heart of our executive operations, ensuring smooth daily functions and contributing to the museum’s continued success. Position Responsibilities:
Manage complex calendars and schedule appointments for the Executive Director and Chief of Staff.
Coordinate travel arrangements, including flights, accommodations, and ground transportation, adhering to state travel guidelines, for Executive Director, Chief of Staff, and Chief Content and Engagement OfficerPrepare for meetings, which includes ordering catering, reserving and setting up meeting spaces, and printing and organizing necessary documents.
Draft and edit meeting minutes, correspondence, reports, and presentations with precision and a professional tone. Professional writing and correct grammar skills are required.
Handle incoming communications, such as screening calls and emails and redirecting them as appropriate, often with key museum stakeholders.
Maintain organized filing systems, both physical and digital.
Assist with special projects and events as needed.
Perform other administrative duties for museum leadership as needed to ensure the efficient operation of the executive office and Executive Team.
EXAMPLE OF DUTIES
Bachelor’s Degree or combination of relevant education and work experience. Proven experience as an administrative assistant or in a similar support role, preferably supporting senior-level executives.
Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
Strong verbal, written and interpersonal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and comfortable learning new software.
Some weekend and evening work required.
