Job Description

Summary:

Function with a high level of judgment, discretion and minimum supervision to provide a wide range of support to the Chief Operations Officer and designated Business Leaders, especially in the areas of managing schedules, project priorities, workflow, facilitation of initiatives, undertaking basic research, preparing meeting documentation, preparing responses and ensuring the smooth delivery of services.

Essential Duties and Responsibilities :

Provide support to the Chief Operations Officer and the Business Leaders within Bank Operations, 1LOD Governance, Mortgage and Information Technology/Data. Oversee and manage the flow and exchange of information, streamline interactions, and facilitate on the behalf of the Chief Operations Officer. Prioritize tasks and projects daily, ensure business leaders are on task and follow up on deliverables. Create, transcribe and distribute meeting agendas/minutes and actionable items. Coordinate time management of meetings on behalf of the executive to include effective prioritizing and resolving related conflicts and competing demands. Coordinate meeting logistics such as catering needs, reserving meeting space, ensuring professional conference room setup (before and after meetings) and prepare for audio/visual requirements. Establishes, cultivates and maintains ongoing relationships within the Operations organization and ensures a clear understanding of operational objectives relative to projects Act as the point of contact among associates, clients and other external partners. Provide email management as requested. Use judgment, tact, diplomacy and discretion in answering and/or redirecting inquiries to appropriate sources and in dealing with sensitive or highly confidential matters, making decisions when multiple courses of action are possible. Prepare/draft confidential correspondence, presentations, reports and other complex documents. Prepare and maintain executive expense reports and supporting documentation. Encourage and maintain a high level of teamwork and inspire trust throughout the office by keeping others informed though timely dissemination of relevant information, reports, etc. Adhere to policies and procedures. Maintain attendance, punctuality, required training, dress code, safety, compliance and confidentiality. Fulfill other duties as assigned. Education and/or Experience Bachelor’s degree preferred 5 -7 years of prior experience in mid-to senior-level administration, project coordinating or business management Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Excel, Outlook and Teams); scheduling appointments/updating calendars a must. Extensive experience in PowerPoint required. Excellent written and verbal communication skills Able to concentrate on multiple problems/tasks at once Able to meet deadlines in a fast-paced quickly changing environment Proactive approach to problem-solving with strong decision-making skills Skills and Abilities Able to perform all administrative duties: managing schedules and travel, maintaining files and confidential information, organizing and preparing reports and maintaining written, electronic and verbal communications Comfortable in a fast-paced environment with multiple responsibilities, tasks and projects Able to organize and manage large amounts of files, schedules, information and projects Detail-oriented Self-directed and able to work without supervision Energetic and eager to tackle new projects and ideas Willingness to be a company culture champion Ability to demonstrate the highest level of ethical behavior and confidentiality and maintain confidentiality with sensitive information.
