This person will serve as a trusted partner to the executive team — handling everything from schedule management and executive communication to marketing strategy and outreach. This is not a traditional assistant role — it’s a blended leadership support position designed for someone who thrives in a fast-paced, mission-driven environment.

Key Responsibilities:

Executive & Administrative Support (50%)

  • Serve as the point of contact for internal and external executive communication
  • Manage calendars, schedules, meeting coordination, and follow-ups
  • Prepare executive-level documents, memos, reports, and presentation decks
  • Track deliverables and priorities across departments and keep leadership aligned
  • Draft internal communications and maintain confidentiality with sensitive matters
  • Assist in onboarding new hires and coordinating leadership-level hiring activity
  • Handle administrative logistics for leadership travel, events, and vendor partnerships
  • Maintain organized digital systems for contracts, correspondence, and company files
  • Marketing Strategy & Coordination (50%)
  • Own and execute the company’s social media presence (Instagram, LinkedIn, etc.) platforms
  • Lead brand development, messaging, and marketing consistency across all
  • Design marketing materials: flyers, proposals, bid books, newsletters, ads
  • Manage photo/video content collection from job sites and team events
  • Oversee company website content, updates, and SEO coordination
  • Support recruiting and employer branding strategy
  • Analyze campaign performance and audience engagement data to guide strategy
  • Coordinate marketing partnerships and sponsorship opportunities
Required Qualifications:
  • 3-5 years of experience in executive support, operations, or marketing coordination
  • Excellent communication, writing, and interpersonal skills
  • Tech-savvy:

    Google Workspace, Canva, social platforms

  • Strong time management and multitasking abilities
  • High emotional intelligence, discretion, and integrity
  • Proven ability to work independently and anticipate executive needs
  • Strong sense of ownership, accountability, and initiative
Preferred Qualifications:
  • Experience in construction, real estate, trades, or similar industries
  • Familiarity with CRM platforms and email marketing tools
  • Graphic design or light creative background is a plus
  • Bilingual (English/Spanish) strongly preferred
