This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This position is fully onsite and working from our Riverside office in Chattanooga, TN. Please note that as our company evolves, working arrangements, locations, and hours may change to meet business needs.
Responsibilities include:
Handling confidential and sensitive information with the utmost professionalism and discretion Coordinating logistics for Board meetings and events Working with Executive Team on Board presentation materials Creating and developing visual presentations using Microsoft tools Assisting and managing special program initiatives and compliance efforts Calendar management, travel arrangements, meeting coordination, and logistical planning for events Prioritizing inquiries and requests while troubleshooting conflicts; making judgments and recommendations to ensure smooth day-to-day engagements Serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team, including those of a highly confidential or critical nature Prioritizing and determining the appropriate course of action, referral, or response, exercising judgment to reflect each Executive Team member’s style and organization policy Working closely with the Executive Team to keep them well informed of upcoming commitments and responsibilities, while following up appropriately. Having a sense of the issues taking place in the environment and keeping the Executive Team updated; anticipating the Executive Team’s needs in advance of meetings, conferences, etc. Completing a broad variety of administrative tasks that facilitate the Executive Team’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; completing expense and mileage reports Developing and executing complex project/program management throughout the project/initiative development lifecycle, including project planning, resource planning, change management, communications planning, and managing changes to the scope Monitoring performance against key performance indicators and adjusting, as needed In-depth understanding of the organization, and how that “system” supports the entire business to work synergistically within the organization for the success of NOVONIX Providing hospitality to all guests and helping to create a welcoming environment Investing in building long-lasting relationships both externally and internally Other duties as assigned You are: A graduate with a bachelor’s degree A professional with 5+ years of experience working in an executive assistant role supporting a C-level executive Able to thrive in a start-up environment A highly motivated self-starter who takes initiative Well organized and invested in the details Able to build positive relationships at all levels of the organization Able to work in a dynamic, fast-paced, high-volume environment, while handling multiple tasks, meeting deadlines, and reacting quickly Resourceful when it comes to solving problems Passionate about creating a great culture Confident and can decipher priorities and make sound judgment calls when needed Comfortable with ambiguity and changing environments Passionate about continuous improvement An effective communicator Persuasive and good at negotiating Able to think outside the box with a sense of urgency Collaborative Willing to go the extra mile to get the job done and satisfy customers/ stakeholders Proficient in Microsoft 365 Able to work well within a cross-functional team environment and diverse communities One dream.
