Full Job Description Position Overview:

We are seeking a dynamic and highly organized Executive Assistant to support our busy accounting and tax firm. This is not your average admin role — we’re looking for someone who is tech-savvy , thrives in a fast-paced environment , and can think three steps ahead. If you’re a proactive problem solver who can juggle multiple tasks while keeping client satisfaction a top priority, we’d love to meet you.

Key Responsibilities:

Manage incoming phone calls and emails with professionalism and efficiency Greet and assist clients who visit the office, ensuring a welcoming experience Keep our CRM and client management systems consistently updated Track client communications and follow-ups to support timely service Prepare and send out birthday cards and thank-you notes to clients Handle scheduling and calendar coordination for the leadership team Assist in maintaining organized digital and physical filing systems Prepare and mail tax documents, engagement letters, and client packets Support basic reporting and data entry for bookkeeping or tax-related tasks Monitor office supplies and ensure the workspace is clean, efficient, and organized Anticipate administrative needs of the CPA and team, ensuring seamless daily operations

Preferred Skills & Qualifications:

Experience in a professional office setting, ideally in financial services or a client-based business Quick learner with strong proficiency in Microsoft Office, Google Workspace, and CRM systems Excellent communication and interpersonal skills — client experience is everything here Ability to self-manage and prioritize multiple tasks independently Comfort with new technology and willingness to learn industry tools quickly General knowledge of bookkeeping, accounting, or tax prep is a plus , but not required High level of integrity, discretion, and attention to detail
