Non-exempt.

Essential Functions:

Be able to handle a wide variety of situations and conflicts involving administrative functions; must be highly organized, detail-oriented, and able to manage time wisely. An executive assistant must sign an agency Confidentiality Agreement and be able to work with confidential information. Administration Assists the President/CEO in reviewing the content of all short and long-range plans and in presenting these plans to the Executive/Governance Committee and the Board of Directors. Provides administrative support to the Board of Directors, including arranging board meetings, lunches and recording minutes. Organizes board materials, correspondence, and meetings Composes correspondence, often involving complex and non-route matters. Documents commitments made by President/CEO during meetings and facilitates staff implementation. Documents CEO Monthly report to Board Arranges CEO representation at meetings or conferences. May establish appointment priorities or reschedule appointments or invitations. Summarizes content of incoming materials and specially gathered data and briefs supervisor regarding important issues or conflicts. Represents President/CEO through telephone and personal contacts. Assesses the urgency and importance of situations and takes appropriate action. Ensures in the CEO’s absence that requests for action and information are furnished in a timely manner. May initiate contracts, secure appropriate signatures, and track contracts through the approval process at direction of CEO. Coordinates special projects and events at the direction of CEO. Assists CEO with Social Media content and postings. Responsible for entering and tracking memberships and donations in designated system. Other duties as assigned to better help the Urban League’s success. Program Assistance Establishes in cooperation with the President/CEO procedural guidelines for communication and marketing efforts to be followed by each Program Department (flyers, web postings, notices, etc.) Collaborates with other staff to ensure that programs are compliant with reporting requirements; assists with submittal of appropriate program reports. Assists with documentation of Knoxville Area Urban League grants and proposals through the appropriate processes. Fund Development As needed, works with CEO and Director of Development on fund raising efforts to support the Knoxville Area Urban League. As appropriate, works with the CEO to identify funding prospects and maintain contact with funders, including reports to funding sources, as required, on the progress of projects.

Qualifications Minimum Qualifications:

Must be proficient in Microsoft Office applications. Non-Profit experience preferred. At least four years of clerical or administrative experience An Associate Degree in Office Systems Technology or similar discipline, or Baccalaureate degree preferred.
