Position Summary The Executive Assistant will play a pivotal role in supporting the Chief Executive Officer (CEO) and Chief Operating Officer (COO) by providing high-level administrative and operational support. This is an on-site position requiring the candidate to work from The Big We’s office. The ideal candidate will be highly organized, proactive, and capable of managing multiple priorities in a dynamic environment. This role requires exceptional communication skills, discretion, and a strong ability to anticipate the needs of the organization’s leadership. Essential Duties and Responsibilities Administrative Support Manage the CEO and COO’s calendars, including scheduling meetings, appointments, and travel arrangements. Prepare and organize materials for meetings, presentations, and events. Act as a point of contact between the CEO, COO, and internal/external stakeholders. Draft, proofread, and manage correspondence, reports, and other documents on behalf of the CEO and COO. Operational Support Coordinate logistics for board meetings, including preparation of agendas, minutes, and follow-up actions. Support the CEO and COO in tracking key organizational goals and deliverables. Maintain and organize confidential files, records, and documents. Oversee special projects and initiatives as assigned by the CEO and COO. Communication & Liaison Serve as a liaison between the CEO, COO, leadership team, staff, and external partners. Ensure timely communication and follow-ups on critical matters. Manage internal and external inquiries with professionalism and efficiency. Event Coordination Assist in planning and executing organizational events, including logistics and on-site support. Support team captains and other staff during large-scale events and initiatives. Marketing and Communications Support the Communications team in maintaining and creating marketing materials and communications. Assist with the creation of content for digital and print platforms. Collaborate with team members to ensure consistency in branding and messaging. Other Duties Provide support with research and data collection for organizational projects. Manage expense reports and budgets related to the CEO and COO’s office. Perform other administrative duties as needed to ensure the smooth operation of the leadership team. Qualifications Proven experience as an Executive Assistant or in a similar high-level administrative role (3+ years preferred) Ability to manage multiple tasks, projects, and deadlines simultaneously while maintaining a high level of organization. Strong verbal and written communication skills are essential to facilitate effective collaboration among diverse stakeholders across time zones. Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools. Working knowledge of Canva and major social media platforms. Ability to handle sensitive information with the highest level of confidentiality and discretion. Approach challenges with optimism, motivating and inspiring the team to achieve outstanding results. Exhibit strong problem-solving skills and a proactive approach to overcoming obstacles and ensuring project success. Preferred Qualifications Experience in nonprofit or mission-driven organizations.
